As the medical desk front desk receptionist for Positive Reset Manalapan, you are the critical first point of contact for our community finding healing. We are looking for a reliable and highly compassionate and efficient individual who understands that administrative accuracy and emotional intelligence are equally important. Your role is to curate a seamless, welcoming, and trust-based experience for every client from their very first call, while ensuring our clinic’s day-to-day operations are precise and supportive.


Key Responsibilities: Full-Time Front Desk & Patient Coordination
  • Serve as the professional, compassionate face of #PositiveResetManalapan, greeting all patients, families, and visitors with genuine care.
  • Efficiently manage high-volume calls, emails, and clinic communications. Own the central scheduling system, proactively managing staff and patient schedules to ensure maximum efficiency and proper appointment coverage.
  • Lead the new patient intake process, managing EMR registration, intake paperwork (digitally), and ensuring flawless documentation in our Electronic Medical Record (EMR) System.
  • Collaborate effectively with our billing team to process payments, manage invoices, and handle front-desk insurance verification and billing inquiries with precision.
  • Act as the primary administrative point of connection between the front desk, the clinical team, and clinic leadership to enhance overall client satisfaction.
  • Coordinate day-to-day clinic workflow and support special projects, staff onboarding, and internal communications as assigned.
Schedule & Hours: 
This is a permanent, full-time salaried position structured specifically to anchor our highest-volume premium clinic hours:
  • Monday through Thursday, and Saturday
  • Note: As a core operational leader, maintaining consistent attendance and shifts is a non-negotiable requirement of this role.
Qualifications:
  • Minimum 2 years of experience in medical office administration or client care coordination (specific experience in a mental health or behavioral health setting is highly preferred).
  • High school diploma or equivalent is required; relevant certifications (e.g., Medical Office Management) are a plus.
  • Advanced proficiency with Medical Scheduling Software and Electronic Medical Record (EMR) Systems. 
  • Deep understanding of and strict adherence to HIPAA regulations and the ability to manage highly sensitive patient information with absolute professionalism and confidentiality.
  • Exceptional organizational skills and an obsessive attention to detail, with a focus on accurate data entry and record maintenance.
  • Demonstrated ability to manage high-volume administrative tasks, multiple clinic communications, and complex scheduling with calm efficiency.
  • Strong verbal and written communication abilities, suitable for interfacing directly with patients, clinicians, and practice leadership.
