Job Summary


The Medical Document Management Specialist is responsible for the continuous, high-volume processing of all incoming medical correspondence within the eClinicalWorks (eCW) Electronic Health Record (EHR) system. This role primarily owns the eCW Fax Inbox (Web Mode), ensuring that incoming diagnostic tests, specialist consultations, lab results, and referrals are accurately reviewed, matched to the correct patient chart, and routed to the proper provider queue.


While this position offers the flexibility of a fully remote daily workflow, the candidate must reside locally to attend a mandatory, comprehensive in-office training period at the start of employment.


Core Responsibilities


  •  eCW Fax Inbox Ownership: Actively monitor, filter, and process a high volume of daily incoming digital faxes using the eClinicalWorks Fax Inbox interface.
  •  Patient Indexing & Matching: Accurately identify patients by verifying full name, date of birth, and unique identifiers, then seamlessly attach the digital document to the correct eCW patient chart.
  •  Document Classification & Categorization: Analyze and sort documents across 30+ medical document types (e.g., lab results, imaging, diagnostic reports, prior authorizations, specialist consult notes, and discharge summaries).
  •  Provider Routing & Task Queues: Review incoming documents for urgent flags and assign completed faxes to specific provider or medical assistant task queues for required signatures or follow-up actions.
  •  HIPAA & Compliance Adherence: Maintain a secure, private, and HIPAA-compliant remote workspace. Handle highly sensitive Protected Health Information (PHI) with 100% confidentiality.

Required Qualifications & Skills


  •  Location & Availability: Must live locally and have reliable transportation to attend mandatory in-office training during the initial weeks of employment.
  •  EHR System Mastery: Recent, direct, hands-on experience utilizing eClinicalWorks (eCW) and familiarity with the eCW Fax Inbox module, patient hub, and document mapping tools is heavily preferred.
  •  Experience: Minimum of 1–2 years of experience working inside a U.S. medical clinic or healthcare practice.
  •  Medical Literacy: Strong foundational knowledge of medical terminology, anatomy, and various diagnostic test types to ensure accurate document classification.
  •  Technical Savvy: Comfort using dual monitors, high-speed internet capability, modern cloud-based efax tools, and AI-assisted data extraction workflows.
