ESSENTIAL JOB RESPONSIBILITIES
Administrative Duties
Oversees all aspects of the Medical Care program and ensures coordinated service delivery through deliverable and productivity monitoring.
Recruits, trains, manages, supervises, evaluates, and, when appropriate, participates in corrective action processes for clinical and support staff in accordance with organizational policies and Human Resources procedures.
Coordinates patient care teams for the Health Center.
Assists in the development, writing and submission of grants (when necessary).
Assists in managing the development, implementation, and monitoring of grants, awards and contracts.
Assists in the development of relevant policies and procedures and ensures compliance.
Evaluates office productivity, workflow, and operational priorities; recommends and implements process improvements, revised procedures, and updated forms to improve efficiency and service delivery.
Assists with development or revision of forms as necessary. Recommends procedural changes in the management of the office resulting in efficient and effective production.
Ensures patient service needs are met by monitoring patient feedback, supporting the resolution of complaints and service issues, and initiating process improvement activities as needed.
Documents patient related activities/information in the patient’s electronic health record (i.e. Chart Updates/Tasks, etc.).
Serves as superuser of agency’s electronic health records system (EHR), providing input and training to the medical team as needed.
Monitors provider schedules and makes adjustments as necessary, including blocking, modifying, and updating schedules to support operational needs.
Creates provider templates in Electronic Health System (EHR) as requested.
Assists with the onboarding of interns and students, including collecting required documentation and coordinating with providers and internal stakeholders.
Generates reports from various systems as required for Health Center operations or as requested by leadership.
Coordinates Lunch and Learn sessions for providers and support staff in collaboration with pharmaceutical representatives and other approved external partners, as appropriate. Establishes and maintains effective communication and working relationships with providers.
Responds to provider concerns and facilitates timely resolution of operational issues as presented.
Coordinates with other departments and agencies as necessary to facilitate the delivery of medical services and other services as needed.
Maintains relationships with specialty practices, pharmacies, community groups and organizations at the local and state levels to ensure coordinated service delivery.
Participates in internal committees as required, including but not limited to Clinical IT, Patient Advisory Committee, UDS Committee, and Billing and Compliance Committee.
Clinical Duties
Reviews assigned provider tasks including:
Performs clinical tasks as needed.
Oversees daily Patient Care Assistant assignments and clinical procedures, including patient intake, specimen collection, point-of-care testing, immunizations, documentation, isolation protocols, medication administration support, and other clinical supervision as needed.
Supervises clinical staff in the performance of assigned duties, including patient care, attendance management, workflow coordination, and task delegation.
Validates competencies and supports the onboarding and training of new clinical staff.
Supports patient throughput, access, and overall patient experience.
Oversee inventory, equipment, and safety checks (safety walk throughs, exam room checklist) including required follow-up.
Promotes and supports quality patient care based on the individual needs of the multicultural patient populations served.
Serves as liaison between medical providers, medical support staff, and other departments to promote effective communication and coordinated service delivery.
Assists in coordinating care with interdisciplinary team members to support achievement of patient goals.
Fiscal Duties
Analyzes and audits laboratory billings and invoices.
Manages, maintains, and reconciles medical care services-related financial information.
Orders supplies, medications and vaccines for the medical program.
Ensures accurate and timely posting of charges for services rendered.
Maintains, manages, and reconciles inventory of medical supplies and capital equipment.
Provides timely progress reports to program director on the status of all programs.
Ensures charges related to services are properly captured and reflected in the agency’s applicable systems, including Intergy, Provide, or other designated platforms.
Reviews and processes billing adjustments, refunds, transfers, and returned checks in accordance with established procedures.
Quality Assurance/Compliance
Encourages best practices regarding clinical quality measures and optimal patient outcomes.
Participates in and prepares for on-site inspections, audits, and monitoring visits as required by applicable local, state, federal, accrediting, and funding requirements.
Performs Quality Assurance and record reviews for the medical program.
Creates and distributes Standard Operating Procedures (SOP) for new protocols and procedures.
Serves as internal arbitrator of disputes involving clients, patients, staff, and visitors.
Prepares documentation and applications for the credentialing and recredentialing of physicians in the various managed care programs.
Assists in the planning, implementation, evaluation, and performance improvement activities related to Joint Commission standards, Infection Control, National Patient Safety Goals, AHCA requirements, HRSA requirements, and departmental safety measures.
Provides ongoing training to new and existing staff on processes necessary to support compliance with Joint Commission standards and the provision of safe, quality care, treatment, and service.

Ensures proper hand washing according to Centers for Disease Control and Prevention guidelines.
