Job Summary
We are seeking a Medical Assistant to join our team! As a Medical Assistant, you will be preparing for each patient visit by preparing charts and pulling notes before their arrival, providing routine support alongside nurses and medical staff, and assisting with keeping track of tests and lab reporting to ensure everything arrives on time and the patient is kept informed on their condition and care. You will also be helping manage the inventory of medical supplies, setting up machines and testing equipment, and cleaning instruments and rooms as needed. The ideal candidate has strong customer service skills, an interest in learning more about a working medical environment, and has previous office experience. 


Responsibilities 

Clinical & Patient Care


  • Assist providers with patient care and clinical workflow
  • Administer injections as permitted by training, certification, and applicable regulations
  • Obtain and document vital signs and other appropriate clinical information
  • Prepare patients for appointments and procedures
  • Assist with medication-related documentation and coordination
  • Maintain accurate and timely documentation in the electronic health record (EHR)
  • Follow appropriate infection-control, medication-safety, and patient-privacy procedures
Prior Authorizations & Medication Support


  • Complete and follow up on medication prior authorizations
  • Communicate with pharmacies, insurance companies, providers, and patients regarding authorization status
  • Assist with specialty medication coordination and required documentation
  • Track outstanding authorizations and ensure timely follow-up
Spravato® & TMS Services


  • Assist with the coordination and day-to-day operation of our Spravato and TMS programs
  • Prepare treatment areas and patients for scheduled treatments
  • Assist with required documentation, vital signs, treatment workflow, and patient monitoring under appropriate clinical supervision
  • Help coordinate Spravato medication delivery, scheduling, and treatment appointments
  • Assist with TMS treatment workflow and patient scheduling
  • Maintain organized treatment records and required program documentation
  • Training will be provided for qualified candidates
Front Office & Administrative Support


  • Greet and check in patients in a professional and welcoming manner
  • Schedule and confirm appointments
  • Answer and route telephone calls and patient messages
  • Verify and update patient demographic and insurance information
  • Assist with new-patient registration and office paperwork
  • Coordinate communication between patients, providers, pharmacies, and other members of the clinical team
  • Perform general office duties as needed to support efficient daily operations
Qualifications
  • BLS Certification or Certified Medical Assistant desired.
  • Experience administering injections preferred
  • Previous experience with prior authorizations is strongly preferred
  • Experience in psychiatry, behavioral health, or a specialty medical practice is a plus
  • Comfortable using electronic health records and computer-based scheduling systems
  • Strong organizational and communication skills
  • Ability to multitask and prioritize in a busy medical-office environment
  • Professional, dependable, compassionate, and patient-focused
  • Ability to maintain confidentiality and comply with HIPAA requirements
  • Willingness to learn TMS and Spravato treatment workflows
