Job Summary We are seeking a Medical Assistant & Scribe for our busy specialty office providing care ENT and Skull Base Care. Our providers care for patients with highly complex medical conditions and we pride ourselves in providing exceptional customer service and patient care. This is a fast-paced position that requires skills in organization, communication, and adaptability, along with a problem-solving mindset. The MA/Scribe role is critical to making patients feel comfortable and also ensuring that the appointment details are accurately documented and all follow-up is completed. Schedule is typically 4 x 10 hour shifts/week.
Responsibilities
Initiate and complete Patient Intake process: collect full medical history, vitals, prescriptions, and test results; and update patient chart accordingly
Optimize daily schedules through proactive patient management and efficient workflow coordination.
Provide patient education regarding assessment, plans and future expectations
Assist the providers with day-to-day clinical operations and in-office procedures
Schedule and coordinate patient appointments and outside referrals
Coordinate authorizations for medications, visits and imaging as required
Submit lab and imaging orders in a timely and accurate basis; follow-up with patient or outside facilities as necessary
Document exams and all relevant communication for each patient visit or telehealth appointment; be an engaged participant in the appointments
Utilize AI in conjunction with scribing to ensure thorough and accurate records are completed for every patient encounter/visit
Review all charting for completeness, accuracy and professionalism
Complete daily tasks as assigned, including: Voice Mails, Emails, Athena Tasks, Faxes, Front Desk/Reception duties
Communicate with other team members in a thorough and professional manner to prevent miscommunication or additional unnecessary work; (input Case Notes, etc…)
Maintain a neat and professional appearance within the dress code guidelines
Maintain a clean and sanitized environment
Adhere to OSHA requirements including universal precautions and waste disposal guidelines
Adhere to all HIPAA and patient confidentiality requirement
Qualifications
Previous experience in a medical office required; specialty practice experience preferred.
Experience with EMR systems required; knowledge of Athena preferred.
Strong attention to detail and excellent organizational skills.
Ability to work independently while also collaborating effectively with a team.
Comfortable handling sensitive patient conversations with empathy and professionalism.
BLS Certification or Certified Medical Assistant desired
