A non-profit in Philadelphia is looking to fill a position that will be 80% admin and 20% clinical.
They are seeking a highly organized and versatile Medical Assistant to join our healthcare team. This position is structured as 80% Administrative and 20% Clinical. The ideal candidate will seamlessly manage front-and-back-office coordination while providing exceptional, direct patient care during clinical rotations. Proficiency in eClinicalWorks (eCW), experience with phlebotomy, handling Durable Medical Equipment (DME) orders, and specialized procedure scheduling are strict requirements for this role.
Administrative Responsibilities (80% of Role)
- eClinicalWorks (eCW) Management: Serve as the primary super-user for eCW, accurately managing electronic health records (EHR), updating patient demographics, scanning medical documents, and logging communications.
- Complex Procedure Scheduling: Coordinate, schedule, and track complex outpatient and in-office medical procedures; ensure alignment between provider availability, patient schedules, and facility constraints.
- DME Order Coordination: Authorize, process, and track Durable Medical Equipment (DME) orders; communicate efficiently with vendors, patients, and insurance providers to facilitate prompt delivery.
- Insurance Verification & Prior Authorizations: Verify patient insurance eligibility and secure formal prior authorizations for medications, diagnostic imaging, specialized testing, and scheduled procedures.
- Patient Communication Management: Act as the primary point of contact via phone and patient portal; triaging inquiries, delivering messages to clinical staff, and conveying non-urgent test results.
- Front Desk & Reception Operations: Greet patients upon arrival, manage check-in/check-out workflows, collect copays, and oversee the daily digital check-in queue to maintain optimal clinic flow.
- Care Coordination & Referrals: Prepare, submit, and monitor outgoing patient referral packets to specialized medical practices and testing centers, ensuring all clinical documentation is attached.
Clinical Responsibilities (20% of Role)
- Phlebotomy & Lab Processing: Perform safe, accurate venipunctures (blood draws) and capillary sticks according to established protocols; label, process, and prepare specimens for lab courier transport.
- Patient Intakes & Vitals: Escort patients to exam rooms, accurately measure and record vital signs (blood pressure, pulse, temperature, respiration, SpO2), and log current chief complaints in eCW.
- Provider Examination Support: Assist medical providers during physical examinations, minor in-office procedures, and wound care while maintaining strict sterile or aseptic techniques.
- Clinical Room Turnarounds: Clean, sanitize, and restock patient examination rooms between visits to ensure compliance with infection control standards and OSHA regulations.
- Basic Clinical Assisting: Administer routine injections, perform basic point-of-care testing (such as urinalysis or rapid strep screens), and prepare clinical setups tailored to the daily schedule.
Requirements & Qualifications
- Certification: Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) credential preferred.
- Experience: Minimum of 1-2 years of proven clinical and administrative medical assistant experience.
- EHR System Expertise: Demonstrated hands-on proficiency with eClinicalWorks (eCW) software is required or similar system experience.
- Phlebotomy Skills: Proven competency in drawing blood with excellent patient-care techniques.
- Administrative Skills: Deep knowledge of medical terminology, DME order processes, and specialized scheduling structures.
- Interpersonal Skills: Exceptional communication, phone etiquette, multitasking abilities, and a collaborative team attitude.
