Job Summary


We are seeking a detail-oriented, organized, and welcoming Medical Administrative Assistant to join our multi-specialty clinic. In this role, you will be the first point of contact for our patients and play a vital part in coordinating care across our orthopedic, chiropractic, and acupuncture services. The ideal candidate will seamlessly balance front-desk hospitality with backend administrative duties, including multi-specialty scheduling, complex insurance verification, and basic medical billing support.
Core Responsibilities


  • Patient Registration & Check-In: Greet patients warmly, manage the check-in/check-out flow, distribute intake paperwork, and accurately enter patient demographics into EMR system
  • Insurance Verification & Authorization: Verify benefits across different care categories, including commercial medical insurance for orthopedics, specific chiropractic copays, and out-of-pocket or limited-benefit acupuncture coverages. Obtain prior authorizations when required.
  • Multi-Specialty Scheduling: Manage phone lines and schedule appointments across distinct provider timelines (e.g., balancing quick chiropractic adjustments with longer acupuncture sessions and orthopedic consultations).
  • Billing & Financial Collections: Collect co-pays, deductibles, and self-pay balances at the time of service. Post payments accurately and assist the billing department with basic claim coding queries.
  • Medical Records & Filing: Maintain digital and physical patient charts, scan documents, and ensure strict adherence to HIPAA privacy regulations.
  • Office Coordination: Answer multi-line phones, respond to patient emails, sort mail, and keep the front reception area clean and organized.
Qualifications & Skills


  • Experience: Minimum of 1–2 years of experience as a medical receptionist, assistant, or biller (experience in a multi-specialty, physical therapy, or chiropractic clinic is a major plus). However, we will train someone with 6 months school and/or experience in medical office. 
  • Insurance Literacy: Strong understanding of medical insurance terminology (deductibles, co-insurance, out-of-pocket max) and prior authorization workflows.
  • Tech Savvy: Proficiency with utilizing software and basic office suites (Word, Excel).
  • Communication: Exceptional verbal and written communication skills with a compassionate, patient-first attitude.
  • Multitasking: Ability to stay organized and calm in a high-volume, fast-paced environment.
