Job DetailsWe are seeking a highly organized and client-focused Mediation Specialist to join our Orlando office.
This non-attorney role serves as the primary coordinator for mediation matters, providing administrative, operational, and client support throughout the mediation process.
The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple matters in a fast-paced professional environment.
Key Responsibilities
Coordinate and schedule mediations with attorneys, clients, insurance carriers, experts, and other parties.
Serve as the primary point of contact for mediation-related communications.
Prepare and distribute mediation confirmations, scheduling notices, and case-related correspondence.
Maintain calendars and ensure all mediation deadlines, appointments, and follow-up tasks are completed on time.
Manage case files, mediation records, and related documentation within the firm's case management systems.
Assist with the preparation, organization, and electronic filing of mediation materials.
Coordinate conference rooms, virtual meeting platforms, and related logistics.
Track mediation outcomes and prepare statistical and administrative reports as requested.
Communicate professionally and effectively with clients, opposing counsel, court personnel, and third-party vendors.
Handle confidential and sensitive information with discretion and professionalism.
Support attorneys and management with special projects and administrative initiatives as needed.
Qualifications
Associate's degree or bachelor's degree preferred.
Minimum of 2 years of experience in legal administration, mediation coordination, claims administration, dispute resolution support, or a related professional services environment.
Experience working in a law firm, mediation practice, insurance defense, construction, or litigation setting is preferred.
Strong organizational and project management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
Ability to prioritize competing deadlines and manage multiple matters simultaneously.
Strong customer service orientation and attention to detail.
Familiarity with legal terminology, court procedures, and case management software is a plus.
Experience coordinating mediations, arbitrations, or other dispute resolution proceedings.
Knowledge of Florida civil litigation processes.
Ability to work independently while collaborating effectively with attorneys and support staff.
Experience with virtual meeting platforms and electronic document management systems.
