Position Summary
The Crisis Center of Tampa Bay brings help, hope and healing to people facing serious life challenges or trauma resulting from sexual assault or abuse, domestic violence, financial distress, substance abuse, medical emergency, suicidal thoughts, emotional or situational problems. The Materials Management Assistant is accountable for the stocking, equipping, and cleaning of all TransCare vehicles as well as asset management and inventory control. This position reports to the Materials Management Coordinator and the Fleet Manager in his or her absence.
Strategic/Transformational Duties and Responsibilities
- Responsible for establishing processes and procedures that result in the timely deployment of TransCare vehicles by ensuring the proper stocking of equipment and supplies necessary to operate within state and local regulations. Also, to oversee the asset tracking and inventory control programs and process. This position directly assists TransCare with the ability to serve the public efficiently and properly.
- Participates in the performance quality improvement (PQI) process and uses data to improve services and outcomes.
Transactional/Administrative Duties and Responsibilities
- Responsible for back-office duties related to inventory and assets.
- Perform the necessary work of all functions pertinent to preparing and equipping vehicles for timely deployment.
- Responsible for receiving and stocking inventory, monitoring par levels, purchasing recommendations, deliveries, and other assigned projects.
- Maintain the vehicle check sheet with the supply par levels, appropriate supply and units of measure.
- Perform quality control checks monthly on all vehicles and supplies related to viability and expiration.
- Process all upload and download of supplies to the system.
- Ensure all electronic equipment is fully charged and ready for deployment, when needed.
- Report and log violations and discrepancies related to vehicle condition after use by crews. Monitor equipment and hardware for signs of misuse or damage, and report that to the Materials Management Coordinator and supervisor as soon as possible.
- Communicate any issue or concern involving supplies, equipment, vehicles, or deployment with the Fleet Manager or Materials Management Coordinator, including damage or improper use of assets by employees.
- Maintain a safe and clean work environment, both inside and outside the facility. Perform general housekeeping duties such as sweeping, mopping, and emptying trash and Biohazard containers.
- Responsible for complying with all local, state, and federal laws (i.e., state and county inventory levels, HIPAA, and OSHA).
- Ensure compliance with all company policies and procedures (i.e., SOPs, environmental audits, unit reviews, etc.).
- Establish and maintain positive working relationships with all levels of staff to ensure maximum communication and cooperation.
- Participate in departmental and company meetings, as required.
- Performs other such duties as may be required.

Education and Experience
- High school diploma or equivalent.
- Current Driver's License with clean history.
- Previous inventory and/or warehouse experience preferred. (EMS industry experience preferred.)
Knowledge, Skills and Abilities
- Knowledge of the principles and techniques of effective verbal and written communication.
- Knowledge of Mental Health First Aid, Trauma Informed Care, and Psychological First Aid; complete core training within 1 year of hire.
- Ability to understand and apply applicable policies and procedures.
- Ability to determine work priorities and ensure proper completion of work assignments.
- Ability to communicate effectively verbally and in writing.

- Knowledge of Florida Chapters 401 and 64J pertaining to Emergency Medical Services preferred.
- Knowledge of the Baker Act as it relates to TransCare Transportation Services
Physical Demands/Working Conditions
Physical Requirement: Must have the ability to lift and carry up to 75 lbs. Employee must be able to see, sit, climb or balance, hear, use hands, taste/smell, stoop, kneel, crouch, crawl, stand, walk, talk, and reach with hands and arms.
Working Conditions: Duties are performed indoors and outdoors with occasional exposure to hazardous conditions and to blood/body fluids, fumes/odors, extended day, and temperature changes. The noise level is moderate.
Travel: Occasional use of company vehicle.
Hours: 3 pm-11 pm 5 days per week. TransCare is open 365 days a year 24-hours a day. Employee may be required to work some holidays, evenings, and/or weekends. Employee may be re-called to duty in the event of a declared disaster or emergency.
