Roles & Responsibilities
Procurement & Purchase Management
- Lead and oversee the end-to-end procurement process, from Purchase Requisition (PR) creation through Purchase Order (PO) closure.
- Ensure timely conversion of PRs into POs in accordance with defined timelines, procurement policies, and business requirements.
- Review and maintain Purchase Quotation Comparisons (QCS) and lead negotiations with selected vendors on pricing, commercial terms, delivery schedules, and contractual conditions.
- Monitor all open PRs and POs, ensuring timely closure, cancellation, or corrective action wherever required.
- Maintain accurate and up-to-date procurement records, purchase data, and documentation within ERP systems such as Tally, SAP, or Oracle.
- Ensure procurement activities support business continuity, operational requirements, and cost-effective sourcing.
Strategic Sourcing & Vendor Management
- Develop, evaluate, and maintain a reliable vendor network for domestic and international procurement.
- Identify and onboard alternate and qualified vendors to ensure supply continuity and optimize procurement costs.
- Lead vendor negotiations, contract discussions, and commercial evaluations with suppliers and logistics partners.
- Establish and maintain strong supplier relationships while monitoring vendor performance, service levels, quality, and delivery commitments.
- Identify opportunities for cost savings, strategic sourcing, and spend optimization across procurement categories.
Supply Chain & Stakeholder Coordination
- Coordinate closely with Warehouse, Manufacturing, PPMC, Finance, and other internal stakeholders to ensure uninterrupted material availability.
- Liaise with external stakeholders including suppliers, logistics providers, transporters, hospitals, receivers, and customs authorities, wherever applicable.
- Ensure timely delivery of materials and proactively resolve delays, shortages, quality issues, and supply disruptions.
- Coordinate the timely return and replacement of rejected, damaged, or non-conforming materials.
- Work closely with Warehouse teams to support effective inventory control and stock management.
- Verify the quantity, quality, condition, and expiry dates of received materials, wherever applicable.
- Ensure appropriate temperature monitoring and handling of temperature-sensitive materials in accordance with applicable requirements.
International Procurement & Logistics
- Manage and coordinate domestic as well as international procurement activities.
- Support import/export processes, including coordination with suppliers, logistics partners, customs, and other relevant stakeholders.
- Ensure procurement and logistics documentation is complete, accurate, and compliant with applicable regulations.
- Monitor international shipments and proactively address potential delays or supply chain disruptions.
Budgeting, MIS & Reporting
- Monitor open PRs, purchase commitments, and procurement spend to support budgeting and financial planning.
- Provide accurate and timely procurement data, analytics, and reports to senior management and the HOD.
- Prepare and submit weekly and monthly MIS reports covering procurement performance, open orders, spend, vendor performance, and delivery status.
- Analyze procurement data to identify trends, cost-saving opportunities, risks, and areas for improvement.
- Support annual budgeting, spend analysis, forecasting, and cost-control initiatives.
Compliance & Quality
- Ensure procurement activities comply with company policies, applicable regulatory requirements, quality standards, and internal controls.
- Maintain appropriate procurement documentation and records to support audits and regulatory inspections.
- Ensure adherence to relevant GMP/GDP and quality requirements applicable to pharmaceutical, biotechnology, and healthcare environments.
- Promote robust procurement practices that ensure quality, traceability, compliance, and supply continuity.
Leadership & Process Improvement
- Lead and mentor procurement team members, driving accountability, capability development, and individual performance.
- Establish efficient procurement processes, workflows, and controls to improve operational effectiveness.
- Identify opportunities for automation, process standardization, and digitalization of procurement activities.
- Drive continuous improvement initiatives focused on cost, quality, delivery, compliance, and operational efficiency.
- Support management in strategic procurement decisions and contribute to long-term supply chain planning.
Key Performance Indicators (KPIs)
- On-time delivery of products and materials.
- Achievement of procurement cost savings and cost optimization targets.
- Procurement spend managed within approved budgets.
- Vendor performance, quality, and service-level adherence.
- Compliance with applicable procurement, quality, and regulatory requirements.

Qualifications & Experience
- Master's or Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Commerce, or a related field.
- 8-10 years of relevant experience in procurement, sourcing, and supply chain management.
- Mandatory experience in the Pharmaceutical, Biotechnology, or Healthcare industry, preferably within a regulated environment.
- Strong working knowledge of ERP systems such as Tally, SAP, Oracle, or equivalent platforms for procurement planning and inventory management.
- Proven experience in vendor management, strategic sourcing, contract negotiation, and supplier development.
- Hands-on experience in both domestic and international procurement, including import/export processes.
- Strong understanding of regulatory compliance, quality standards, and procurement documentation, with knowledge of GMP/GDP preferred.
- Experience in budget planning, spend analysis, cost optimization, and procurement forecasting.
- Certification in Supply Chain or Procurement, such as APICS or CIPS, will be an added advantage.
- Strong proficiency in MS Excel, data analysis, reporting, and procurement analytics.
