Position Summary:
We have an exciting opportunity to join our team as a Manager - Real Estate Life Safety Operations

Within the department of Real Estate Development and Facilities (REDF), the Manager, Real Estate Life Safety-Operations is a member of the real estate life safety team in Real Estate & Housing and is responsible for supporting and coordinating all aspects of facilities life safety compliance. In this capacity, the Manager, Real Estate Life Safety-Operations will manage a team that may include Supervisors and Specialists and reports to the Assistant Director, Real Estate Life Safety.

Job Responsibilities:

• Ensureproperties are managed in compliance with all applicable laws, codes, and standards, including any requirements of third-party regulators such as NYSDOH, The Joint Commission, AAAASF, DNV, CMS, EPA, CDC, FL-AHCA and authorities having jurisdiction;

• Manage the collection and organization of documentation from required life safety inspection, testing and maintenance activities, and providing this data for presentation at monthly meetings of the NYULH System Environment of Care Committee, system hospital Sub-Committees, and Evidence of Standards Compliance (ESC) Committee, as required;

• Serve as departmental liaison during accreditation surveys by The Joint Commission and other regulatory agencies in connection with healthcare facilities life safety;
• Represent the off-site portfolio at regulatory and other compliance meetings enterprise-wide;
• Collaborate to schedule and manage life safety assessments of clinical portfolio; coordinating required response and corrective actions as necessary;
• Monitor vendor maintenance responsiveness and overall performance, following the REDF procurement policy and procedures for life safety vendors, working with Project Support Office (PSO) and Supply Chain Management (SCM) to identify qualified vendors and negotiate scope and best possible pricing;
• Maintain appropriate records and documentation related to all supplies, vendors, contracts, and project work, and communication in an inspection-ready state at all times;
• Perform and review Risk Assessments and Interim Life Safety Measures (ILSM) when necessary and provide relevant, timely communications to REDF senior leadership, Chief Regulatory Officer and others as required;

• Interface with other departments at NYULH including Environmental Health & Safety, Regulatory Affairs, Facilities Operations/Engineering, Infection Prevention & Control, MCIT, Security, Design/Construction, Faculty Group Practice, Hospital Operations, Emergency Management Enterprise Resilience;

• Participate in periodic review of institutional Management Plans, safety policies and protocols, and contribute topolicy updates and formulation;
• Engage in special projects and initiatives, and perform other duties as assigned.

NYULH Portfolio-Wide Life Safety support:

• Provide leadership, direction and supervision in a matrixed organization, working together with Facilities Managers, departmentalstaff and vendors to develop preventive maintenance and inspection procedures to accomplish life safety goals;
• Evaluate site conditions in context of NYULH Safety Policies, Fire Safety Handbook, Construction Safety Policy and advise Operations team of life safety concerns relating to the physical environment.
• Provide support to Real Estate Leasing/Acquisitions team to evaluate potential sites for life safety and ADA compliance, confirming that recommendations from compliance assessments are addressed prior to occupancy, whenever possible;
• Collaborate with EH&S and EMER to develop, review for accuracy, and routinely train staff on the off-site emergency action plans, ensuring that landlords and building management are within compliance as applicable, and staff are aware of the Plan and know what to do in case of emergency;
• Interface with other departments at NYULH including Environmental Health & Safety, Regulatory Affairs, Facilities Operations/Engineering, Infection Prevention & Control, MCIT, Security, Design/Construction, Faculty Group Practice, Hospital Operations, Emergency Management Enterprise Resilience, as required;
• Ensure that fire and evacuation drills for staff are properly scheduled, conducted and documented for the entire portfolio, including residential locations;
• Assist Project Managers with the implementation of complex upgrades and installations, providing guidance on regulatory interpretations as needed;
• Ensure that all staff complete necessary compliance/safety trainings and providing opportunities for additional training;
• Support the quarterly Focused Standards Assessment (FSA) through The Joint Commission Resources Tracers with AMP.
• Develop and manage annual budgets for Real Estate Life Safety activities.

Key Competencies:

• Ability to synthesize information from many sources to create, articulate, and implement management strategies that will improve service delivery efficiencies and alignment of goals and expectations between the REDF and the portfolio tenants;

• Capacity and initiative to function independently, assuming ownership and responsibility for daily management and the ability to follow-through on assignments without regular supervision or prompting;

• Familiarity with major planning and real estate development processes, applicability in the healthcare industry preferred, but not essential;

• Exceptional organizational skills and keen attention to detail and accuracy with an ability to manage multiple projects, prioritize work, manage timelines and control budgets;

• Proficiency with the technology and media necessary to communicate with stakeholders in a manner that is open, accessible and clear; and

• Discipline, maturity, and composure necessary to perform professionally within a demanding environment and navigate a challenging healthcare landscape.

Minimum Qualifications:

• Bachelors degree is required
• 5 years relevant, full-time experience in life safety, facilities operations/engineering, real estate and project management in the fields of healthcare, life sciences, environmental health and safety, or related field.
• Solid working knowledge of The Joint Commission, CMS, DOH, NFPA 101, 99, 80, 72 and other Physical Environment standards, elements of performance and codes, as applicable to clinical settings.
• Strong planning and management experience, oral and written presentation skills, and highly developed communication skills are essential

Preferred Qualifications:

• Certified to conduct fire and emergency drills, and serve as Fire Guard for Impairment, as evidenced by FDNY Certificates of Fitness W-07 and F-01 respectively, or equivalent in other authorities having jurisdiction; strongly preferred.
• Completion of additional relevant certifications, including the NFPA Certified Life Safety Specialist for Health Care Facility Managers (CLSS-HC) or comparable, strongly preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $101,493.51 - $175,076.17 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
