The Manager, Finance & Administration is responsible for leading and centralizing student employment, HR-related processes, and administrative operations across the Division of Student Affairs. This role ensures consistent, efficient, and compliant practices related to hiring, onboarding, payroll, and operational systems, including One Card. Serving as a key operational leader within the Division, this position partners closely with unit directors, standardizing processes, reduce risk, and enhance the overall effectiveness and scalability of divisional operations. The role also provides support to the Student Activities Business Office (SABO) during peak periods.

 

Key Responsibilities:

Student Employment & Workforce Operations-

  • Oversee end-to-end student hiring processes. (JobX/SIS through onboarding and payroll setup)
  • Establish and manage a divisional student hiring calendar to ensure consistency and predictability.
  • Standardize job descriptions, pay practices, and hiring workflows across units.
  • Provide guidance to supervisors on student employment policies, best practices, and workforce planning.
  • Review and monitor student staffing levels to support equitable and strategic allocation of resources HR & Staff Lifecycle Management.
  • Lead coordination of staff hiring, onboarding, transfers, and terminations in partnership with HR.
  • Maintain accurate organizational structures and reporting lines within HR systems. (e.g., SAP/MyBU Works) 

 

Payroll & Time Entry Oversight-

  • Monitor the accuracy and timeliness of students and staff payroll.
  • Identify and resolve missed time, late submissions, and payroll discrepancies.
  • Establish clear expectations and provide training to supervisors on time entry and payroll processes.

 

Administrative Operations & Financial Compliance-

  • Oversee One Card reconciliation processes across the division, ensuring timely submission and adherence to university policy.
  • Partner with staff to resolve missing documentation, policy violations, and audit risks.
  • Establish standard timelines, documentation requirements, and training for cardholders.
  • Conduct periodic compliance reviews and identify trends to improve operational practice.

 

Process Standardization & Training-

  • Develop and maintain standard operating procedures (SOPs) for hiring, onboarding, payroll, and administrative processes.
  • Lead training and onboarding sessions for staff responsible for student employment and administrative operations
  • Identify and implement process improvements to reduce inefficiencies and inconsistencies across units.

 

Data, Reporting & Operational Planning-

  • Track and analyze student employment data. (headcount, hours, and spend)
  • Provide regular reporting to support divisional planning and decision-making.
  • Identify trends, risks, and opportunities for improved resource allocation.

 

Divisional Operations Coordination-

  • Develop and maintain a divisional operations calendar aligning key activities. (hiring cycles, payroll deadlines, reconciliation timelines, and planning milestones)
  • Ensure units are informed, aligned, and meeting key operational deadlines and expectations.


Required Skills
  • Bachelor's degree required.
  • 3-5 years of experience in operations, HR, higher education administration, or related field •Experience with Boston University student employment processes, payroll systems, or HR operations preferred.
  • SAP & JobX Experience preferred.
  • Strong organizational, analytical, and problem-solving skills.
  • Demonstrated ability to manage multiple priorities and drive process improvements.
  • Excellent communication and stakeholder management skills.
