    Description

    We are seeking a highly organized and detail‑oriented Operations/Maintenance Coordinator to support our administrative office and multiple departments. This role provides essential operational, clerical, and organizational support to leadership and staff while ensuring smooth day‑to‑day office functioning. This position also offers an opportunity for growth, with exposure to broader departmental operations, project coordination, and capital project support.

     

    Key Responsibilities 

    • Oversee and document car maintenance activities.
    • Assist with data collection for quality improvement initiatives.
    • Manage bills, purchases, expenses, and order supplies/equipment.
    • Maintain service logs, billing logs, and audit-ready documentation.
    • Maintain audit ready documentation. 
    • Assist with drafting contracts and related administrative documentation.
    • Assist with work order follow-ups when needed.
    • Support capital projects through administrative coordination, documentation, follow-ups, and project tracking as needed.
    • Provide administrative support to department leadership.
    • Organize and maintain accurate internal and external reports.
    • Process invoices, department expense reports, credit card statements, and budget-related documents.
    • Process employee timesheets.
    • Serve as a liaison with internal teams, external partners, government officials, vendors.
    • Maintain professional and respectful communication within the organization.
    • Perform additional duties as assigned.
     

    Qualifications 

    • High School Diploma or GED required.
    • Minimum 1 year of administrative or office support experience; 1–4 years administrative or office management experience preferred.
    • Property management experience is ideal.
    • Experience with billing systems such as Coupa is a plus.
    • Ability to pass required background and health clearances.
    • Excellent organizational, written, and verbal communication skills.
    • Strong interpersonal skills and cultural sensitivity.
    • Proficiency in Microsoft Word, Excel, Outlook, and general computer applications.
    • Ability to multitask, work independently, and adapt to a fast-paced environment.
    • Strong attention to detail and ability to maintain confidentiality.
    • Team-oriented mindset and ability to collaborate with diverse staff and stakeholders.

    The hourly rate for this position is $21

    In collaboration with others, the mission of Family Service is to provide quality programs and services, which effectively assist and strengthen individuals and families in our community. Family Service provides more than 5,000,000 meals each year through a USDA food program in 85 Nebraska counties. This program feeds almost 21,000 children in more than 1,312 licensed home child-care facilities. Family Service delivers the Women, Infant and Children (WIC) program to 3,000 people in Lancaster County each month. Services include nutrition and breast feeding education as well as formula, milk and other staples. Family Service cares for more than 1,700 children who take part in our child care and early childhood programs based in 20 Lincoln Public Schools. Family Service counsels families and individuals with behavioral health sessions at 13 specific local schools. Family Service partners with a variety of federal, state, local and non-profit agencies to make available a number of other innovative programs to assist Nebraska families. Family Service Early Childhood and Youth Development programs granted over $694,000 in free and reduced rate scholarships to children during 2011-2012 school year.
