Job Summary Under the supervision of the Maintenance Manager, the Maintenance Coordinator Specialist performs a wide variety of administrative functions such as the receipt, recording and processing of requests for service work; maintenance of shop office, vehicle maintenance records; forms, reports, correspondence, maintenance of petty cash; developing sources of supply, obtaining quotations and purchasing standard types of material, equipment & supplies. Essential Job Functions - Complies with all Safety, Quality and Company polices.
- Completes investigations to determine component specificity, and compatibility with our processes.
- Contacts vendors, and submits RFQ’s.
- Obtains, and reviews quotes.
- Investigates, and sets up new vendors as needed.
- Uses creativity, and persistence to source specialty maintenance, and engineering items.
- Creates storage locations for new items as needed.
- Able to determine minimum, and maximum inventory levels to maintain on-hand.
- Able to complete inventory audits, and inventory adjustments.
- Engages with continuous improvement projects, and recommends process improvements.
- Documents best-practice work instructions.
- Maintains the maintenance library for organization, accuracy, and relevancy.
- Professionally communicates needs, and expectations with internal, and customer customers.
- Monitors inventory levels and develops strategies to improve
- Enters work order tickets into the CMMS.
- Writes purchase orders, and receives equipment.
- Runs reports, and analyzes data.
- Performs associated clerical duties as assigned such as checking and reconciling vendor bills, monitoring field order books, screening and distribution of incoming mail, collection and routing of outgoing mail, maintenance of departmental activity charts, escorting visitors, etc.
- Maintains inventory and supplies for janitor staff.
- Utilizes Company vehicle to pick up supplies for facility.
Additional Duties - Employees may be required to perform other related duties as assigned to meet business needs.
Minimum Qualifications - High School Diploma or GED.
- Valid Driver's License.
- Must meet US person due to ITAR Compliance regulations.
- Minimum three (3) years of experience in administration or junior buyer role.
- Competency in the use of MS Office, Outlook and the ability to create and maintain basic spreadsheets with sufficient PC capabilities to organize and maintain records.
- Experience in a manufacturing and union environment preferred.
- Experience with a CMMS system – Aptean preferred.
Knowledge, Skills, and Abilities - Ability to coordinate vendor interactions and escalate issues appropriately.
- Strong documentation and organizational skills.
- Must be able to plan, schedule, prioritize, a variety of daily activities.
- Ability to source parts quickly and efficiently to maintain production.
Physical Requirements - Ability to sit for extended periods while working at a computer.
- Ability to lift up to 35 pounds without assistance.
- Ability to work in server rooms and manufacturing environments as needed.
- Ability to drive Company vehicle to pick up Company supplies and parts.
