Position Overview
The On-Site Services Specialist will support daily mailroom, document scanning, copying, shipping, and office services operations at the RoundPoint customer site. The ideal candidate will have experience processing incoming and outgoing mail, operating scanning and office equipment, and providing excellent customer service. Mailroom, scanning, or document services experience is preferred, but candidates with strong customer service backgrounds are encouraged to apply.

Daily duties include opening and date stamping all incoming mail, Sorting mail by department, that includes FedEx, UPS, USPS and Amazon. Upon processing the mail, deliver Mail by department and prep mail for scanning. Meter all outgoing mail by department and assist with the scanning of incoming mail. Moderate lifting and walking

Key Responsibilities

  • Open, date stamp, sort, process, and distribute incoming mail by department, including FedEx, client, USPS, and Amazon deliveries.
  • Prepare incoming mail and documents for scanning and assist with document imaging activities.
  • Meter and process outgoing mail by department, ensuring proper postage and routing.
  • Receive, sort, distribute, and deliver incoming and outgoing mail, packages, and shipments.
  • Operate high-volume copiers, printers, document imaging systems, scanners, fax machines, postage meters, and related office equipment.
  • Perform copying, printing, scanning, document processing, binding, and finishing tasks as required.
  • Use document image handling software, MS Office, and email systems to open, save, retrieve, and transfer files according to established protocols.
  • Access document management systems and maintain digital files in accordance with customer procedures.
  • Inspect convenience copiers and office equipment for quality and proper operation; clear paper jams and report technical issues to technicians.
  • Maintain daily meter readings, service logs, inventory records, and billing or charge logs as required.
  • Track office supplies, maintain stock levels, and distribute supplies to designated personnel or locations.
  • Maintain organized and well-stocked copier and mailroom areas.
  • Perform filing, document archiving, and records management duties as needed.
  • Support meeting room and conference room setup, building occupant moves, and other office services functions.
  • Perform occasional housekeeping, light maintenance, and other building support duties as assigned.
  • Use equipment such as paper cutters, hole punchers, bindery machines, joggers, tape machines, electric staplers, stackers, shrink-wrap machines, and scales.
  • May be required to work occasional overtime, including nights, weekends, or off-hour emergency response.

Required Qualifications

  • High school diploma, GED, or equivalent experience.
  • Typically 1–2 years of experience in mailroom operations, document services, office services, copying, scanning, customer service, or a related field.
  • Mailroom, scanning, document imaging, or copy services experience preferred.
  • Strong customer service and communication skills.
  • Good PC skills, including MS Office and email systems.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Basic mathematical, filing, and recordkeeping skills.
  • Ability to operate office machines and technical equipment.
  • Ability to follow established procedures for handling physical and digital documents.
  • Ability to bend, reach, stretch, and perform routine mailroom and office services tasks.
  • Ability to lift and move items weighing up to 50 lbs.; assistance is available when needed.
  • Ability to push or pull equipment on wheels and walk between buildings when required.
