Mailroom Clerk

Ensure convenience copiers and work areas are operating properly, perform daily quality inspections, clear paper jams, and report technical issues to technicians. Use equipment such as shrink-wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales as needed.

Overview

• Support inbound mail processing, including opening letters and scanning mail pieces.

Responsibilities

• Process, open, sort, distribute, and handle incoming and outgoing mail.
• Scan mail pieces and operate high-volume document imaging systems and scanners.
• Learn and operate mail meters, postage equipment, copiers, fax machines, calculators, and other office equipment as required.
• Use document image handling software and access document management systems according to established protocols.
• Operate MS Office and email systems for opening, sending, retrieving, saving, and transferring files.
• Maintain records, daily meter and service logs, billing logs, inventories, and management reports.
• Distribute office supplies, fax transmissions, mail, and completed jobs to designated locations.
• Perform shipping and receiving duties for materials and supplies.
• Respond to customer questions regarding job status or feasibility and coordinate service calls as needed.

• Keep copier and work areas neat, organized, and properly stocked.
• Perform filing, document purging, and archiving duties as required.
• Use equipment such as shrink-wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales as needed.
• Perform copying, binding, finishing, QC, final checks, and other production support duties as required.
• May support meeting and conference room setup, building occupant moves, re-lamping, light maintenance, and occasional cleaning.
• May travel between customer buildings when required.
• May require periodic overtime on nights and weekends, including off-hour emergency response.
• Perform other duties as assigned.

Requirements

• High school diploma, GED, or equivalent experience.
• 1 2 years of experience or equivalent experience in a related field.
• Mail or copy job experience preferred but not required.
• Basic knowledge of MS Office applications, including Word, Excel, and email.
• Good customer service and communication skills.
• Good organizational skills with the ability to prioritize work.
• Basic mathematical and filing skills.
• Ability to use office machines, technical equipment, scanners, mail meters, and related systems.
• Ability to interpret, comprehend, and apply instructions, data, and information.
• Ability to stand, walk, bend, reach, stretch, and perform similar physical activities for extended periods.
• Ability to lift or move items weighing up to 50 55 lbs., including mail tubs.
• Ability to push or pull machines on wheels weighing up to 700 lbs. when necessary for repairs.
• Moderate dexterity and regular use of a keyboard, calculator, hand tools, and eye/hand coordination.
• Ability to maintain accurate records, files, and service logs.
