Job Description:Position Summary
The Mail & Print Services Assistant is responsible for overseeing day-to-day mailroom operations and supporting shipping, receiving, and print services within a fast-paced corporate environment. This role requires strong organizational skills, supervisory experience, operational expertise, and the ability to handle confidential and high-value materials with discretion.
Key ResponsibilitiesMailroom & Shipping Operations- Supervise daily mailroom, shipping, and receiving activities.
- Schedule staff, assign workloads, and cross-train team members to ensure operational coverage.
- Manage inbound and outbound mail, packages, confidential materials, apparel samples, seasonal products, and VIP shipments.
- Maintain accurate logs and a secure chain of custody for all shipments.
- Ensure timely and accurate package distribution.
Event & Logistics Coordination- Oversee high-volume product intake, storage, and distribution during events and seasonal activations.
- Coordinate logistics for high-profile events and special projects.
- Ensure secure handling and transportation of sensitive and high-value items.
Team Leadership & Compliance- Provide guidance and support to mailroom personnel.
- Enforce mailroom policies, procedures, and operational standards.
- Communicate policy updates and ensure compliance across the team.
- Maintain professionalism, confidentiality, and excellent customer service standards.
Systems & Technology Management- Operate and oversee shipping and tracking systems, including:
- Client
- FedEx
- USPS
- PS Tracks
- Ricoh
- Pitney Bowes
- Train staff on shipping platforms and operational procedures.
- Monitor system usage and ensure process accuracy.
Problem Resolution & Process Improvement- Investigate and resolve operational issues promptly.
- Identify root causes and implement corrective actions.
- Improve workflows, efficiency, accuracy, and security, particularly during peak-volume periods.
- Recommend and implement best practices to enhance service delivery.
Reporting & Cost Management- Track shipping and mailroom costs by department.
- Maintain accurate operational records and reports.
- Identify cost-saving opportunities while maintaining service quality.
- Report performance metrics and operational efficiencies to stakeholders.
Required QualificationsEducation- High School Diploma or GED required.
Experience- 5+ years of related experience in:
- Mailroom operations
- Shipping and receiving
- Logistics environments
- Previous supervisory or shift management experience required.
- Experience in high-volume mailroom operations strongly preferred.
