Lincoln Water System (LWS), a division of the City of Lincoln's Transportation and Utilities Department (LTU), is seeking a detail-oriented and customer-focused Office Specialist to provide operational and administrative support for Water Operations programs including Construction, Meter Replacement, Cross Connection Control, and Water Service operations.
This position performs specialized administrative, technical, and customer service functions related to water operations support, scheduling, work order coordination, customer communication, and operational tracking. The role supports field operations by maintaining accurate records, coordinating appointments, tracking projects, and helping ensure efficient daily operations across multiple service areas.

Nature of Work/Examples of Work Performed
Technical & Water Service Support
- Provide accurate and timely information to staff, contractors, customers, and the public regarding water operations and service activities
- Support operational programs including Construction, Meter Replacement, Cross Connection Control, and Water Service operations
- Manage operational events including taps, service lines, meters, inspections, appointments, and related work orders
- Initiate, update, track, and close work orders and operational events within Beehive and other systems
- Enter, maintain, review, and verify operational data and records for accuracy and completeness
- Coordinate scheduling activities and maintain appointment calendars for field operations and customer service requests
- Research missed appointments, service issues, and operational discrepancies and prepare appropriate customer correspondence
- Review and reconcile daily operational events to ensure scheduling accuracy and proper workflow coordination
- Communicate with customers regarding service requirements, operational updates, scheduling changes, and follow-up activities
- Organize, maintain, and process operational documentation, reports, field records, and technician-related materials
- Run reports and perform quality checks on operational work orders, tracking systems, and project activities
- Coordinate with supervisors and operational staff to support workflow efficiency and project completion
- Handle customer concerns and coordinate dispatch or communication with appropriate personnel
- Maintain and update procedure manuals, operational records, and standard operating procedures
- Support ongoing training, cross-training, and process improvement initiatives
Customer Service
- Assist walk-in and phone customers in a courteous, professional, and efficient manner
- Schedule appointments and coordinate customer service requests related to water operations activities
- Prepare operational correspondence, notices, reports, and documentation as assigned
- Perform data entry, filing, records management, bulk mailing preparation, and other administrative duties
- Enforce established visitor sign-in and facility security procedures
- Support special projects, meetings, and departmental operational needs
- Communicate operational concerns, workflow issues, and customer service matters to supervisors as appropriate
Teamwork & Professionalism
- Maintain strong working relationships with staff, officials, and the public

Minimum Qualifications/Necessary Special Requirements
Graduation from high school or equivalent supplemented by coursework in business practices and two years of experience in complex clerical work; or any equivalent combination of training and experience that provides the desirable knowledge, abilities, and skills.
