    Logistics Supervisor

    Overview

    Under the direction of the Department Manager, the Logistics Supervisor helps manage, lead, train, and support daily operations within the Transload Department while partnering closely with other departments to meet service, safety, and compliance standards. This role provides hands-on leadership across transload dock and office functions, with a strong focus on customer service, documentation accuracy, and timely execution of import and transload activities.

    Key Responsibilities

    Team Leadership & Daily Operations

    • Lead and coordinate the work of Transload Dock and office staff to meet daily service requirements.
    • Serve as the lead for the AANA desk while overseeing daily operations and service for VMI 3rd Party and 3PL desks.
    • Train and cross-train new employees and temporary staff as needed; continue cross-training across AANA/VMI/3PL functions.
    • Maintain a high standard of customer service and timely, professional communication.
    • Work closely with vetted carriers and vendors to support reliable service and pricing alignment.

    Ocean Import & Shipment Coordination

    • Receive and manage pre-alerts via email for ocean import shipments from overseas offices.
    • Print and organize shipping documents, create shipment files, and maintain accurate records.
    • Enter shipment details into Excel tracking logs.
    • Receive or request arrival notices from coloaders, consolidators, forwarders, carriers, and other partners.
    • Confirm final destination details and determine required customs entry type (e.g., In-Bond or Consumption).

    ISF & Customs Entry Support

    • Verify ISF filing details and ensure ISF is completed timely (submit to CHB or file as required).
    • Coordinate with CHB to prepare required customs entries; follow up and retain supporting documentation in the shipment file.
    • Support continued training in ISF filing and CF7512 In-Bond entry filing (with intent to file In-Bonds directly as capability expands).

    Release, Dispatch, and Exception Management

    • Clear TMF/CTF and coordinate payments necessary for timely shipment release, including (as applicable) Pier Pass, steamship lines, coloaders, forwarders, brokers, and CFS warehouses.
    • Issue Delivery Orders for LCL and FCL shipments and dispatch to truckers.
    • Monitor freight availability for both FCL and LCL; resolve holds, delays, and documentation discrepancies.
    • Coordinate inbound receiving with the Transload Dock Team.
    • Identify exceptions (damage, shortage, overage) and notify all required parties promptly.

    Outbound Execution & Delivery Follow-Through

    • Coordinate outbound trailer needs and consolidation planning with internal teams.
    • Generate outbound BOLs by customer/HBL/entry and send pre-alerts to McAllen docks.
    • Monitor shipments through delivery and obtain PODs from carriers.

    Billing, Reporting & File Close-Out

    • Collect vendor invoices and required documentation to close shipment files.
    • Enter shipment data into AIOS to generate billing invoices.
    • For VMI 3rd party customers, send billing invoices and related documentation packets as required.
    • Update customer reports when required and provide milestone updates throughout the shipment lifecycle.

    Compliance, Safety & ISO Support

    • Execute and enforce compliance with work instructions, safety procedures, and company policy.
    • Participate in and support all ISO-related duties.
    • Create new work instructions as needed and revise existing work instructions to reflect current processes.

    Qualifications

    Education

    • High School Diploma or equivalent (required)

    Experience

    • 5 years of experience within a logistics company (required)

    Skills & Competencies

    • Proficiency with Microsoft Word, Excel, and Outlook
    • Strong written and verbal communication skills
    • Proficient with Windows applications
    • Customer-service mindset with a strong sense of ownership and follow-through
