Responsibilities

Key Responsibilities

  • Greet and welcome visitors, employees, vendors, and contractors in a professional and courteous manner.
  • Manage visitor check-in and check-out procedures, including badge issuance, visitor logs, and security protocols.
  • Monitor lobby activities and ensure compliance with site access requirements, including badge verification and visitor escort procedures when required.
  • Answer and direct incoming phone calls and inquiries, providing accurate information and routing requests appropriately.
  • Maintain reception coverage and provide exceptional customer service to all guests and employees.
  • Coordinate meeting logistics including visitor notifications, conference room support, printing materials, and preparation of visitor badges.
  • Manage shared inbox communications related to visitor arrivals, meeting schedules, site announcements, and general inquiries.
  • Assist with mail, package deliveries, and courier services as needed.
  • Coordinate with Facilities, Security, and office support teams to ensure the reception and common areas remain organized, functional, and presentable.
  • Monitor and maintain inventory of lobby and office supplies.
  • Support catering coordination and visitor hospitality needs for meetings and special events.
  • Escalate building, security, or customer service concerns to the appropriate site contacts.
  • Maintain confidentiality while handling sensitive information and visitor interactions.
  • Serve as a positive ambassador for ABM and the client site by delivering a best-in-class customer experience.

Qualifications

The Ideal Candidate Will Have

  • 2-5 years of experience in a receptionist, front desk, administrative support, office coordinator, customer service, hospitality, or visitor management role.
  • Experience supporting a professional corporate, technology, manufacturing, engineering, healthcare, or industrial environment preferred.
  • Strong customer service orientation and commitment to creating a positive visitor experience.
  • Exceptional verbal, written, and interpersonal communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Ability to interact professionally with employees, customers, vendors, and senior leaders.
