Real Estate Administrative Assistant position (full-time) available at Marcus & Millichap in the Ontario, CA office.
The Administrative Assistant provides essential administrative and operational support to a sales agent or agent team. This position is key to managing daily business activities, maintaining organized workflows, and supporting client service delivery.
The base salary for this role is $55,000 per year plus eligible for a quarterly and annual performance-based bonus. The exact bonus is not guaranteed and will vary based on individual performance, team results, and company performance. Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role. Marcus & Millichap is a multi-state employer and posted salary ranges are provided in good faith for compliance with all relevant pay-transparency regulations. These ranges may not reflect potential compensation for positions based in other states or regions.
Responsibilities Include:
• Create Marketing materials & post properties on websites
• Draft and revise correspondence, reports, and marketing materials.
• Assist with document preparation and proofreading for transactions and listings.
• Managing due diligence files and escrow management
• Maintain accurate records of communications, transactions, and marketing efforts.
• Database management and Research
• Preparing contracts & property underwriting
• Ensure confidentiality and handle sensitive information with discretion.
May perform other duties as assigned.
Qualifications:
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Two (2) years of administrative experience, preferably in a real estate, finance, or legal environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Office 365).
• Strong organizational, editing, and proofreading skills.
• Excellent verbal and written communication abilities.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Professional demeanor and polished appearance.
• Reliable, punctual, and proactive with a strong desire to learn and grow.
