Library Operations Specialist

Work Arrangement: This is a full-time, fully remote position. Candidates must be willing to work West Coast business hours. While our preference is for West Coast candidates, we are also open to qualified candidates in Mountain and Central time zones.

Position Summary

 Fisher Phillips, a premier international labor and employment law firm, is seeking a Library Operations Specialist to support the daily operations of our Library and Research Services team. In this role, you will help maintain library resources, support legal research platforms, coordinate operational workflows, and ensure attorneys and staff have seamless access to essential legal and business information.

Key Responsibilities

  • Maintain the firm’s physical and digital library collections, ensuring resources are current, organized, and aligned with practice group and business needs.
  • Maintain and update electronic research resources, library databases, intranet content, and related knowledge management tools to support efficient access to legal and business information.
  • Provide day-to-day operational support for legal research platforms and electronic resources, including Westlaw, Bloomberg Law, VitalLaw, Lex Machina, Trellis, vLex, and other subscription services.
  • Troubleshoot user access issues and coordinate with vendors and internal technology teams to resolve system or account-related matters.
  • Support attorneys, paralegals, and staff by facilitating access to legal research tools and library resources to assist with client service, case preparation, and business operations.
  • Assist with administration of electronic resource accounts, passwords, permissions, and usage management in accordance with firm policies and security protocols.
  • Process invoices related to research subscriptions, library materials, and vendor services, ensuring accuracy and timely submission in accordance with firm procedures.
  • Assist with tracking library and research-related expenses and support departmental budget management activities.
  • Support research librarians with document retrieval requests, court filing and complaint pulls, and other research support tasks during high-demand periods.
  • Coordinate maintenance of physical library collections, including shelving, loose-leaf filing, routing of materials, and updates to print resources such as supplements and pocket parts.
  • Coordinate with agency or temporary staff, as needed, to support physical library maintenance and materials management.
  • Retrieve, route, scan, and distribute legal materials and research documents to attorneys and staff across offices in a timely manner.
  • Participate in departmental projects, workflow improvements, and technology initiatives as assigned.

Qualifications and Experience

  • Bachelor’s degree in Library Science, Information Science, or a related field preferred.
  • Minimum of 3–5 years of experience in a law firm, corporate library, or professional services environment preferred.
  • Demonstrated proficiency with online legal and business research platforms, including Westlaw, Bloomberg Law, VitalLaw, Lex Machina, Trellis, vLex, and similar tools.
  • Strong technology skills and ability to learn and support evolving research and information management systems.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, and Outlook; SharePoint experience preferred.
  • Knowledge of general library operations, legal research resources, and information management practices.
  • Strong organizational skills with the ability to prioritize multiple tasks and manage competing deadlines.
  • Excellent verbal and written communication skills and the ability to work both independently and collaboratively.
  • Demonstrated commitment to responsive internal client service.
  • Experience training or assisting end users with print and electronic research resources preferred.
  • Experience supporting Labor & Employment research resources and workflows is highly preferred.

Compensation

The hourly range for this position is $30.00 - $50.00. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
