    Work Environment:  Hybrid (2 days WFH)

    JOB DESCRIPTION

    This position provides high-level secretarial and administrative support to five or more attorneys. Provides a wide range of administrative and document processing services in the Tax and Litigation departments.



    Key Responsibilities

    • Maintain and organize litigation case files (electronic and physical), ensuring accuracy, consistency, and compliance with firm and court protocols
    • Prepare, format, proofread, and process legal documents, including pleadings, motions, discovery materials, and correspondence
    • Coordinate and execute e-filings in state and federal courts, ensuring adherence to jurisdictional rules and deadlines
    • Maintain litigation calendars and track key dates, including court appearances, filing deadlines, and depositions
    • Assist with discovery processes, including document collection, review, production, and organization
    • Prepare deposition materials, exhibits, trial binders, and hearing notebooks
    • Manage document databases, including scanning, coding, and organizing case materials for efficient retrieval
    • Conduct basic legal and factual research to support case strategy and attorney requests
    • Track and manage service of process and document deliveries, ensuring proper execution and documentation
    • Support trial preparation, including coordination of logistics, materials, and scheduling
    • Assist with preparation of tax-related legal documents, filings, and correspondence
    • Compile and organize documentation for tax planning and transactional matters
    • Prepare tax agendas, reports, and supporting materials for client matters
    • Assist in assembling and maintaining closing binders and transaction records
    • Manage attorney calendars, including scheduling of meetings, court appearances, and client engagements
    • Handle time entry, matter opening, engagement letter preparation, and billing coordination, including invoice review and processing
    • Arrange travel and process expense reimbursements
    • Manage attorney phone lines, screen calls, and communicate messages effectively
    • Communicate professionally with clients, opposing counsel, courts, and internal stakeholders
    • Prepare reports, correspondence, and general administrative documentation
    • Provide overflow and backup support to other legal support staff as needed
    • Contribute to team operations by supporting workflow demands across litigation and tax practices

     


    Qualifications

    • Comprehension of a variety of legal court documents, including complaints, answers, rulings, judgments, affidavits, motions, appeals, table of contents/authorities, subpoenas, court dockets, reports, memos and correspondence
    • Knowledge of or willing to learn tax litigation laws as they relate to individuals, partnerships, estates and corporations. Familiarity with IRS, State and local tax agencies, including Franchise Tax Board
    • Strong ability to maintain high standards, use good judgment and seek out ways to contribute and anticipate needs
    • Strong attention to detail, organizational skills and ability to manage time effectively
    • Excellent interpersonal skills, communication skills and the ability to collaborate well on a team
    • Position also requires the ability to work under pressure to meet strict deadlines
    • Bachelor’s Degree or equivalent experience preferred
    • Minimum 5 years of experience as a legal secretary in a business law practice with exposure to the tax litigation practice area
