Job Summary: Seeking a skilled Legal Secretary to provide comprehensive secretarial and administrative support to the Legal Department, ensuring efficient case management, documentation, and trial preparation.

Key Responsibilities:

  • Maintain attorney calendars and tickler systems to track key dates and deadlines.

  • Schedule meetings with clients, experts, attorneys, co-counsel, and court appearances.

  • Manage and review incoming mail using OnBase, ensuring proper indexing and calendaring for attorney review.

  • Draft correspondence and memos to request or share legal information.

  • Communicate with clients to obtain required case details and documentation.

  • Maintain and organize electronic confidential legal files, ensuring accurate documentation of all case activities.

  • Prepare and file discovery, pre-trial, and trial documents with courts as required.

  • Coordinate and maintain schedules for discovery activities involving plaintiffs and defendants.

  • Provide legal secretarial support for various matters, both short-term and long-term assignments.

  • Answer and screen telephone calls professionally and efficiently.

  • Transcribe dictations and type correspondence, pleadings, court forms, reports, and legal summaries.

  • Assist and back up other secretaries as needed to ensure workload balance.

  • Stay updated on current court rules and procedural requirements.

  • Support department and company projects as assigned.

Education and Experience:

  • High school diploma or GED required.

  • Minimum of 7 years of defense trial and litigation experience in a legal or similar professional setting.

  • Minimum of 3 years' recent California Civil Litigation experience.

  • Proven trial preparation experience is mandatory.

Skills and Abilities:

  • Excellent organization, communication, and time management skills.

  • Strong knowledge of court procedures and litigation processes.

  • High attention to detail with the ability to work independently and take initiative.

  • Proficient in MS Word and knowledgeable in case management software.

  • Typing speed of 70+ words per minute required.
