Legal Secretary / Office Coordinator

Fisher Phillips, a premier international labor and employment law firm, is seeking a skilled and experienced Legal Secretary / Office Coordinator to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.

Key Responsibilities

This position entails providing dual support in both secretarial duties for attorneys and office coordination. The successful candidate will serve as the primary in-office coordination lead and will work closely with a remote Office Administrator to ensure the office operates efficiently, professionally and in alignment with firm procedures. Key responsibilities include:

Office Support

  • Serves as the on-site office coordination lead, partnering with the remote Office Administrator to support day-to-day office operations and ensure a high level of service to attorneys, staff, clients and visitors.
  • Coordinates with building management on day-to-day issues such as building security, HVAC, emergency preparedness and general tenant issues.
  • Coordinates the purchase of routine office supplies and concessions with approved vendors.
  • Works collaboratively with the IT team to resolve technical issues that may occur in the office and assists with coordinating local technology needs.
  • Assists with organizing coverage for scheduled and unscheduled staff absences.
  • Assists with event planning and logistics and provides general assistance with business development activities.
  • Assists with onboarding and integration of new staff and attorneys, including coordinating office access, workspace readiness and local orientation support.
  • Maintains office procedures and updates the office procedure manual as required, in coordination with the Office Administrator.
  • Promotes a professional, organized and service-oriented office environment.

Secretarial

  • Drafts and formats correspondence, briefs and other legal documents.
  • Reviews and ensures accuracy of vendor invoices and timely submission of invoices and check requests.
  • Accurately enters, reviews and revises timesheets.
  • Files court documents accurately and timely, following federal, state and judge-specific requirements.
  • Proofreads all documents to ensure accuracy and completeness.
  • Maintains and follows up on attorney client deadlines and calendars appointments through electronic calendaring and docketing systems.
  • Maintains updated client files, including paper-based and electronic files, and complies with office policies regarding file management and recordkeeping.
  • Participates in the timely review and submission of pre-bills and/or client bills.
  • Organizes travel for assigned attorneys and completes expense reimbursements in a timely manner.
  • Provides proactive administrative support to assigned attorneys and assists with overflow support as needed.

Requirements

  • Minimum of 7 years of experience as a legal secretary in a legal or professional services firm.
  • Prior experience supporting attorneys in a litigation or labor and employment practice preferred.
  • Advanced working knowledge of Word, Excel, PowerPoint and Outlook.
  • Ability to develop, implement and maintain systems to promote organization, consistency and efficiency.
  • Ability to work independently, take initiative and serve as a reliable on-site resource while partnering with a remote Office Administrator.
  • Ability to apply and/or communicate knowledge of client-specific billing guidelines and restrictions.
  • Ability to adapt to fluctuations in workload and changes in responsibilities.
  • Working knowledge of court e-Filing requirements, including PACER and ECF.
  • Working knowledge of general accounting procedures.
  • Demonstrates strategic thinking, problem-solving and decision-making skills.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, attention to detail and ability to prioritize competing deadlines.
  • Professional demeanor with a collaborative, team-oriented and service-focused approach.
