Overview
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential for ensuring the smooth operation of our medical - legal office, providing exceptional service to our clients, and supporting the administrative functions of the office. The ideal candidate will have experience in a legal office and be proficient in various office systems.


Key Responsibilities     

Patient & Client Services: Warmly greet patients upon arrival, manage the check-in/check-out process, and ensure all necessary intake and consent forms are accurately completed.


Scheduling: Coordinate and schedule medical-legal examinations while managing multi-provider calendars.

General Clerical & Administrative Support: Send routine correspondence, manage incoming mail/email, scan/copy documents, and maintain organized digital and physical filing systems.


Phone & Communication: Handle incoming calls professionally, screen inquiries, answer client questions, and route messages efficiently.

Multi-Site Support: Travel to alternate office locations as needed to provide on-site administrative coverage and patient check-ins.



Qualifications and Skills 


Proven experience as a receptionist, legal secretary, or administrative assistant (experience in a medical or legal environment is a strong plus).


Strong verbal and written communication skills with a professional telephone demeanor.


High level of organization, attention to detail, and ability to multitask in a fast-paced environment.


Proficiency with office software  and digital scheduling tools.


Reliable transportation and willingness to travel between practice locations as required.
