General Summary:
This full-time role will assist with day-to-day departmental operations, including contract management, legal billing, document organization, calendar coordination, project tracking, and coordination with internal business teams and outside counsel. Reporting to the Executive Vice President of General Counsel, this position is 4 days per week in office, 1 day from home and based in our LIC Headquarters.
Major Responsibilities:
- Provide executive legal assistance and day-to-day administrative support to the General Counsel, in-house attorneys, senior leadership, and the Legal Department.
- Assist with contract management, including intake, routing, status tracking, renewals, expirations, key dates, signature coordination, and maintenance of accurate contract records across applicable software platforms.
- Support the development, implementation, and administration of contracting processes, standards, and related Legal Department procedures.
- Manage and support legal billing processes, including invoice review, coding, tracking, follow-up with outside counsel and vendors, and use of legal billing systems.
- Prepare, organize, store, and maintain legal documents, correspondence, reports, files, and departmental records with a high degree of accuracy and confidentiality.
- Manage calendars; schedule appointments and meetings; coordinate logistics; prepare materials; monitor follow-ups; and assist with departmental projects and training sessions.
- Serve as a professional point of contact for internal business teams, outside counsel, vendors, and other stakeholders, while maintaining positive and responsive working relationships.
- Handle routine administrative tasks, including answering telephones, fielding questions, taking messages, retrieving mail, managing email and faxes, and assisting with travel or expense-related needs, as required.
- Assist with special projects and perform other duties as assigned.

Skills, Education, Licenses, Certificates, Registrations and/or Experience:
- Bachelor's degree or equivalent experience required.
- Two to four years of experience in a legal, corporate, executive assistant, administrative support, or related role preferred.
- Strong technology skills, including proficiency with Microsoft Office applications and the ability to learn and work across contract management, legal billing, document management, and other departmental software platforms.
- Excellent time management, organizational, and multitasking skills, with the ability to manage concurrent responsibilities, deadlines, and projects with accuracy and attention to detail.
- Ability to understand and follow moderately complex verbal and written instructions, analyze basic information, prepare summaries, and escalate complex matters as appropriate.
- Professional judgment and discretion when handling confidential, sensitive, or privileged information.
- Excellent verbal, written, interpersonal, and communication skills, with a collaborative and service-oriented approach to working with internal and external stakeholders.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
The expected base salary for this position ranges from $70,000-$80,000. Ranges are based on various factors such as relevant skillset, training, years of experience related to the current job description, education, and our organizational structure.
