Legal Administrative Assistant — Los Angeles, CA | Hybrid | Full-TimeAbout the RoleThe Legal Administrative Assistant (LAA) provides broad administrative and clerical support to attorneys and legal teams within a fast-paced law firm environment. This role is central to keeping daily operations running smoothly, requiring strong organizational skills, sharp attention to detail, and the ability to juggle multiple priorities simultaneously. The LAA works closely with Legal Support Assistants (LSAs) and Legal Executive Assistants (LEAs) to ensure work is properly allocated, completed on time, and meets the highest standards of quality.Key ResponsibilitiesProvide practice-specific support to multiple associates, partners, and attorneys; understand unique practice area requirements and prioritize work accordinglyDraft, edit, and proofread legal documents, communications, and presentations to ensure accuracy and qualitySupport day-to-day information governance and records management — ensuring content is stored in approved repositories, organized per firm policy, and proactively managed through matter close-outCollaborate with other LAAs and LEAs on complex projects; delegate appropriately to LSAs and provide status updates to attorneys, escalating as neededOrganize and monitor assignments within the firm's workflow management tools, including time entry and expense reimbursementsOversee billing matters including prebill processing, approval workflows, and final bill delivery; serve as attorney proxy for billing questions and follow-upHandle confidential and sensitive matters with discretion; serve as a trusted resource for associates and partnersIdeal CandidateFamiliar with legal terminology, documentation standards, and best practices for law firm environmentsProficient in Microsoft Office (Word, PowerPoint, Excel) and legal software such as iManage, Aderant, DocXTools, or InnovaComfortable with AI-powered tools for document production, review, and researchStrong attention to detail with solid problem-solving instincts and the ability to make quick, sound decisionsEffective communicator, both written and verbal, across attorneys, clients, and support staffWorks well under pressure; stays organized and positive when managing competing deadlinesAdaptable and open to feedback; eager to grow skills as tools and practice needs evolveProficient in virtual collaboration platforms (Zoom, Microsoft Teams)Experience in workflow management or task-tracking roles a plusEducation & ExperienceMinimum: High School Diploma or GEDPreferred: Bachelor's degree in Legal Studies, Business Administration, or related field2+ years of experience in a legal setting under attorney or administrator supervision, or within a professional services environmentCompensation & SchedulePay range: $37.50 – $53.18/hour (DOE); non-exempt, overtime eligibleHybrid schedule (in-office + remote)Full benefits package including medical, dental, vision, and 401(k)No immigration sponsorship available.
