Litigation Administrative Assistant
Location: Downtown San Diego, CA Practice Area: Commercial Business Defense - Civil Litigation Salary Range: $70,000 - $95,000 annually + benefits Schedule: Full-time (40 hours/week) | Monday-Friday, 8:30 AM - 5:00 PM (30-minute lunch)
About the Role
An Am Law 100 firm is seeking an experienced Litigation Administrative Assistant to join our collaborative and high-performing team in our Downtown San Diego office. This role is ideal for a detail-oriented professional with strong litigation experience who thrives in a fast-paced legal environment.
You will play a critical role in supporting attorneys and paralegals across complex commercial, civil, and business defense litigation matters, providing both high-level administrative and legal support.
Key Responsibilities
Manage attorney calendars, including court deadlines, hearings, and client meetings
Coordinate travel arrangements and process monthly expense reports
Prepare, revise, and finalize legal documents, including correspondence and pleadings
Perform electronic filing (e-filing) in State and Federal courts
Schedule depositions, mediations, and client meetings
Communicate professionally with clients, opposing counsel, and court personnel
Assist attorneys throughout all phases of litigation, including trial preparation and attendance
Conduct conflict checks and assist with opening new client matters
Maintain and organize electronic case files and document management systems
Support billing processes, including invoice preparation and time entry coordination
Maintain and update client and contact information
Handle additional administrative and clerical tasks as needed
Qualifications
Minimum 4+ years of recent litigation experience in a law firm environment
Strong experience with State and Federal e-filing (required)
Background supporting commercial, civil, or business defense litigation
Excellent writing, editing, and communication skills
Proven ability to manage multiple priorities under tight deadlines
Highly organized, detail-oriented, and proactive
Strong collaboration skills with attorneys, paralegals, and administrative staff
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
Experience with document management, docketing systems, and billing/time entry software preferred
Top Qualifications
Minimum 4 years of State & Federal e-filing experience
Strong background in litigation and commercial business defense
