The Lead Service Specialist will work onsite at Foley & Lardner, one of Tallahassee's premier law firms, assisting with general office duties, including mail, distribution services, copy, print, records, facilities, reception, and hospitality services.
Job Responsibilities
- Provide elevated, concierge-style experiences. Work independently on daily hospitality tasks and events with minimal supervision. Schedule and set up meeting rooms as requested.
- Conduct walkthroughs of office floors to ensure conference rooms and visitor offices are clean, organized, and fully stocked with supplies. Lead event and room setups in accordance with client requests.
- Provide support for miscellaneous requests and flexible services, including monitoring service and resource request systems. Utilize various software and event-planning tools to complete tasks and coordinate with IT for equipment support and issue resolution.
- Escort clients to meeting rooms and ensure they have everything needed for a successful meeting.
- Act as a liaison between guests and firm staff.
- Notify Facilities, Hospitality, and other support teams regarding inventory needs and conference room repairs.
- Assist management with training new hires on hospitality functions and processes.
- Understand, track, and communicate production metrics to management and clients.
Qualifications & Requirements
- High School Diploma or GED required.
- Two or more years of experience in a customer service environment, preferably within office services, legal services, or a corporate hospitality setting.
- Comfortable serving as the primary face of the office and creating elevated, concierge-style experiences for attorneys, guests, and vendors.
- Able to successfully balance reception, concierge, event coordination, and administrative responsibilities with minimal direction. Also supports Office Services functions, including mail and print services.
- A true self-starter who proactively identifies needs and takes ownership during slower periods.
- Possesses sound judgment and can serve as the local point of contact for the Regional Office Administrator Manager located in Jacksonville.
- Organized and comfortable managing supply purchasing, budget tracking, vendor coordination, and invoice/order management.
- Able to adapt to a generally quiet office environment while effectively managing periodic spikes in activity and shifting priorities.
- Strong interpersonal skills and a professional presence appropriate for a law office.
- Ability to lift or move up to 40 pounds.
- Ability to grasp, lift, and transport packages using a standard wheeled cart with a load capacity of up to 75 pounds.
- Ability to walk, bend, kneel, stand, or sit for extended periods of time.
Compensation & Benefits
The compensation range for this role is $22.00 to $25.00 per hour and may include eligibility for an annual bonus. Actual compensation within this range will depend on the individual's location, skills, experience, and qualifications.
