    Middletown City School District Job Description Lead Secretary (Secretary I) EMIS Position Code 502

    1. High school graduate.
    2. Passed the necessary competency testing for the position. (Civil Service Exam)
    3. Willingness to work as a team member and to provide assistance.
    4. High degree of proficiency in office procedures, word processing, filing, organizational skills, and machines.
    5. Possess a strong knowledge and experience in computer programs: DASL, Word, Exce l, and other computer systems
    6. Proficient organizational skills set. Knowledge and procedures as it relates to your position.
    7. At least three years of experience in performing secretarial work.
    8. High degree of proficiency in office procedures.
    9. Self-motivated and an ability to work on multiple tasks with minimal supervision.
    10. Professional tact, confidentiality, diplomacy, and presentation with administrators, staff, teachers, students, parents, and the community.
    11. Good health, high moral character, and good attendance record.
    12. Acceptable BCII report and FBI report.
    13. Ability to meet all job expectations and objectives.
    14. Such alternatives to the above qualifications as the Superintendent and/or Board of Education may find appropriate.
    15. Perform other duties as assigned by the Building Principal.

    Building Principal

    1. Students for the purpose of monitoring students referred for illness/medical, disciplinary action, dismissal, or other needs.

    2. Directs office aides for the purpose of validating their work and assure quality and concise information is given and/or conveyed.

    3. To provide high quality positive customer service.

    4. To provide secretarial, clerical, and support services to the supervisor.

    5. To further the mission and vision of the school district.

    6. To establish and maintain records.

    7. To provide customer service to all district stakeholders: students, parents, teachers, community members and school personnel.

    8. To serve in a wide variety of clerical functions.

    9. To convey information regarding school functions and procedures.

    10. Serve as a receptionist; greet students, parents, staff, community members, and other district stakeholders.

    11. Answer telephone inquiries, take messages, and promote positive public relations for the district.

    12. Prepare reports using a variety of sources.

    13. Type, duplicate, and distribute a variety of materials.

    14. Provide information to district stakeholders, and respond to inquiries from internal and external parties.

    1. Proficient computer skills on district software and other technology to effectively perform job duties.
    2. Initiate and maintain physical and computerized departmental files including verification of completeness of files.

    4. Provide clerical support, and coordinate assigned projects and/or activities.
    5. Coordinate a variety of programs and activities.
    6. Ensure efficient operation of the site, and maintain a secure office environment.
    7. Compile data from a variety of sources for the purpose of preparing reports.
    8. Maintain a variety of manual and electronic documents, files, and records for the purpose of providing up -to-date information and/or historical reference for students and employees.
    9. Prepare a variety of correspondence, and sort and distribute incoming and/or daily mail.
    10. Schedule activities for the purpose of making necessary arrangements for assigned administrator.
    11. Provide assistance with administrative functions.
    12. Maintain student records: track attendance, lunch counts, enrollment and withdrawal information, student discipline, and other student information.
    13. Input information for the purpose of data entry into various programs and information systems.
    14. Write purchase orders and requisitions as required by the principal; check in supplies and equipment received by vendors.
    15. Act as bookkeeper and keep the main ledger and separate account book.
    16. Attend all required in-service and safety meetings.
    17. Maintain professional confidentiality.
    18. Uphold district policies and procedures.
    19. Demonstrate professionalism, exhibit a professional attitude, and model appropriate behavior.
    20. Other duties as assigned for the purpose of ensuring the efficient and effective function of the work unit by the building principal.

    Additional working conditions may include:

    1. Occasional exposure to blood, body fluids, and tissue
    2. Occasional operations of a motor vehicle under inclement weather conditions
    3. Occasional interactions with unruly people
    4. Occasionally lift, carry, push, and pull various items up to a maximum of 40 pounds (100 pounds on wheels), e.g., paper boxes, deliveries of supplies and equipment.
    5. Frequent requirement to sit, stand, walk, talk, hear, see, read, speak, reach, stretch with hands and arms, crouch, kneel, climb, and stoop.
