Job Description

Purpose:

The Project Manager III (Lead Scheduler) manages and oversees complex scheduling operations, space utilization, and stakeholder coordination for the Texas A&M University Space Institute in Houston. This position serves as the central point of contact for all facility scheduling activities, ensuring efficient, equitable, and strategic use of Institute resources across internal and external stakeholders.

The Lead Scheduler is responsible for managing competing priorities, resolving scheduling conflicts, and coordinating high-demand spaces including the auditorium, Moon and Mars simulation environments, conference rooms, and other shared facilities. This role supervises scheduling staff and supports tenant engagement, facility tours, and external rentals within a dynamic, multi-tenant environment.

Responsibilities:

60% Scheduling Operations

• Defines scheduling priorities, workflows, and policies to support efficient and equitable use of Institute facilities
• Manages scheduling portfolios across multiple spaces within the facility, aligning with Institute priorities and operational needs
• Coordinates and leads scheduling discussions with staff, tenants, faculty, and external partners
• Oversees booking and utilization of high-demand spaces, including auditorium, Moon/Mars environments, and conference areas
• Resolves complex scheduling conflicts requiring judgment, prioritization, and negotiation
• Establishes and enforces scheduling standards, service expectations, and facility usage policies
• Ensures consistency, accuracy, and reliability of scheduling processes and systems
• Ensures compliance with university policies and facility usage guidelines
• Maintains accurate scheduling records, calendars, and documentation
• Documents procedures and best practices for scheduling operations

20% Stakeholder Coordination

• Serves as the primary point of contact for tenants and stakeholders regarding scheduling and facility use
• Facilitates coordination across faculty, staff, tenants, and external partners
• Coordinates scheduling needs for tours, events, and Institute programs
• Supports engagement with external organizations seeking to use Institute facilities
• Communicates scheduling policies, updates, and expectations clearly

20% Leadership

• Supervises and directs scheduling staff, including one or two schedulers
• Establishes daily scheduling priorities and delegates work to ensure timely service delivery
• Serves as the central coordination point for all Institute space scheduling
• Leads real-time problem solving and deconfliction of competing priorities
• Coordinates external rentals of the auditorium and other spaces, including scheduling and logistics
• Supports planning and execution of facility tours, conferences, and events
• Collaborates with Facility Manager and Assistant Director to align scheduling with operational capacity
• Continuously improves scheduling workflows, processes, and stakeholder experience

What We Need:

• Bachelor’s degree in related field. An equivalent combination of education and experience may be considered.
• Seven years of related experience.

About The Texas A&M Space Institute:

The Texas A&M University Space Institute will advance commercial, government, military, and academic research and development partnerships in support of national and international space endeavors. With a $200 million investment from the State of Texas, a 400,000 square foot facility is under construction at NASA-Johnson Space Center's Exploration Park.
