We are looking for a dependable and highly organized Lead Parts & Inventory Specialist to take ownership of the day-to-day operation of our parts department and warehouse inventory. This is a hands-on position that combines customer service, parts identification, inventory management, shipping and receiving, and warehouse operations.
The ideal candidate is someone who takes pride in keeping things organized, enjoys solving problems, and can work independently while supporting customers, technicians, and the rest of our team.
Key Responsibilities
Parts & Customer Support
Serve as a primary point of contact for parts customers by phone, email, and in person.
Assist customers and technicians with identifying the correct parts for their equipment.
Use manufacturer parts manuals, diagrams, online catalogs, and other resources to identify parts.
Prepare parts quotes and process customer orders accurately.
Order parts from manufacturers and outside vendors as needed.
Monitor open orders, backorders, and special-order parts.
Communicate order status and expected delivery dates to customers and internal team members.
Work closely with our service technicians to ensure needed parts are available for repairs.
Develop strong working relationships with customers, vendors, and manufacturer representatives.
Help provide a high level of customer service throughout the entire parts-ordering process.
Inventory Management
Take ownership of inventory accuracy within the parts warehouse.
Receive, inspect, label, and properly stock incoming parts.
Ensure all incoming and outgoing inventory transactions are recorded accurately.
Maintain organized bin locations and clearly labeled inventory.
Perform regular cycle counts and assist with physical inventory counts.
Research and resolve inventory discrepancies.
Monitor inventory levels and identify frequently used parts that should be kept in stock.
Help identify obsolete, excess, and slow-moving inventory.
Maintain accurate inventory records within company systems.
Help establish appropriate minimum and maximum stocking levels.
Keep the parts warehouse organized so inventory can be located quickly and efficiently.
Shipping & Receiving
Coordinate daily inbound and outbound parts shipments.
Receive deliveries from freight carriers, manufacturers, and parcel services.
Pick, pack, and prepare customer and internal parts orders for shipment.
Verify orders for accuracy before shipment.
Prepare shipping documentation and labels as required.
Safely load and unload trucks and deliveries.
Work with freight and parcel carriers to resolve damaged, missing, or delayed shipments.
Maintain an organized receiving and shipping area.
Ensure customer orders and internal parts requests are processed efficiently.
Forklift & Warehouse Operations
Safely operate a forklift as part of daily warehouse operations.
Load and unload trucks, pallets, parts, and other materials using a forklift.
Move and organize palletized inventory throughout the warehouse.
Safely place and retrieve inventory from warehouse storage locations.
Inspect material-handling equipment and report maintenance or safety concerns.
Follow all company safety procedures when operating forklifts and other warehouse equipment.
Maintain clean, organized, and safe warehouse and parts-storage areas.
Previous forklift operating experience is required. Forklift certification is preferred; candidates must be willing and able to complete any company-required forklift training or certification.
Leadership & Process Improvement
Take ownership of the organization and daily workflow of the parts department.
Help establish consistent processes for receiving, stocking, picking, shipping, and inventory control.
Identify opportunities to improve inventory accuracy and warehouse efficiency.
Help establish accountability and best practices within the parts operation.
Assist with training and supporting additional parts employees as the department grows.
Communicate inventory issues, shortages, and operational concerns to management.
Help develop a parts operation that can efficiently scale as Global Turf continues to grow.
Qualifications
Previous forklift operating experience required.
3+ years of experience in parts, inventory, warehouse operations, equipment dealerships, automotive, heavy equipment, or a related environment preferred.
Experience with inventory management, shipping and receiving, or warehouse operations.
Experience identifying and ordering mechanical or equipment parts strongly preferred.
Strong organizational skills and attention to detail.
Ability to maintain accurate inventory records.
Strong customer service and communication skills.
Comfortable communicating with customers by phone, email, and in person.
Comfortable using computers, inventory systems, email, and Microsoft Office.
Ability to learn manufacturer parts systems and online parts catalogs.
Ability to prioritize multiple customer and internal requests in a fast-paced environment.
Strong problem-solving skills.
Dependable and able to work with limited supervision.
Self-starter who takes ownership of problems and follows them through to completion.
Experience with commercial turf, golf course, agricultural, construction, landscaping, or similar equipment is a plus.
Physical Requirements
Ability to safely operate a forklift.
Ability to regularly stand, walk, bend, reach, and work throughout a warehouse environment.
Ability to safely lift and move parts, boxes, and packages associated with normal parts and warehouse operations.
Ability to load, unload, and organize inventory throughout the workday.
Ability to work in warehouse conditions typical of an equipment and parts distribution operation.
