About the Role: The Lead Front Desk Specialist (Bilingual) is a pivotal leadership role within our healthcare facility, serving as both the primary point of contact for patients and visitors and the operational lead for the front desk team. In addition to performing standard front desk functions—such as appointment scheduling, patient registration, and inquiry management—the Lead Front Desk Specialist provides guidance, training, and mentorship to front desk personnel. Minimum Qualifications: Language Skills: Must be bilingual (English/Spanish or other relevant language preferred) to effectively assist our diverse patient population. Education: High school diploma or equivalent required. (Associate degree or related coursework preferred). Experience: Minimum of 2–3 years of experience in a medical front desk, patient access, or healthcare administrative role, with demonstrated supervisory or lead experience. Certifications: Basic Life Support (BLS) certification required, or must be obtained within 60 days of hire date. Skills: Exceptional verbal and written communication, interpersonal, and conflict-resolution skills. Strong organizational and multi-tasking capabilities.
Preferred Qualifications: Advanced proficiency with Electronic Health Record (EHR) and Practice Management systems. Certification in Medical Office Administration (e.g., CMAA, Certified Medical Secretary) or related field. Bilingual fluency (English/Spanish or other relevant language). Prior experience in an emergency care or urgent care facility environment.
Responsibilities: Leadership & Operations Support Oversee daily front desk operations, ensuring optimal staffing coverage and smooth patient check-in/check-out processes. Train, onboard, and mentor new front desk specialists on facility protocols, customer service standards, and software tools. Act as the primary escalation point for complex patient inquiries, billing questions, or service issues, resolving matters with professionalism and empathy. Assist management with scheduling shift coverage, monitoring workflow efficiency, and recommending process improvements.
Patient Care & Administrative Execution Warmly greet and assist patients, family members, and visitors upon arrival in a professional and empathetic manner. Manage telephone communications, routing calls appropriately, answering inquiries, and taking precise messages. Verify patient demographic and insurance information, collect co-pays/payments, and accurately update billing and clinical records in compliance with HIPAA regulations. Coordinate closely with physicians, nursing staff, and administrative team members to facilitate timely patient triage and seamless care delivery. Maintain clean, organized, and stocked front desk and waiting areas.
