Womble Bond Dickinson (US) LLP is seeking a Lateral Intake Assistant to support the Firm’s lateral attorney and business professional hiring processes. This position will assist with intake, conflicts, and portable-business onboarding workflows, as well as, collect, validate, organize, and enter information into relevant databases related to incoming lateral candidates and their clients/matters. This position is eligible for remote work.
RESPONSIBILITIES:
- Review lateral intake forms, questionnaires, and supporting materials for completeness, accuracy, and consistency; identify missing information and follow up with recruiting, the hiring team, or the candidate as appropriate.
- Enter and maintain candidate, client, matter, and related-party information in the firm’s intake, conflicts, and/or workflow systems with a high degree of accuracy.
- Assist with conflicts and intake workflows for lateral candidates and portable business, including preparing requests, routing materials, monitoring workflow progress, and escalating issues when needed.
- Generate, organize, and maintain reports, spreadsheets, summaries, and status trackers for pending lateral intake matters and portable-business onboarding.
- Prepare matter-opening support materials, and conflict-related tracking documents for review by senior team members.
- Communicate professionally and confidentially with lateral intake team and other functional groups regarding status, follow-up questions, and next steps.
- Track deadlines and workflow milestones to help support timely candidate clearance and matter opening.
- Maintain orderly records and audit-ready documentation related to lateral intake and conflicts processing, consistent with firm policy.
REQUIREMENTS:
- Associate’s degree, or an equivalent combination of education and relevant experience.
- Strong attention to detail and ability to manage a high volume of information accurately.
- Demonstrated ability to manage multiple tasks, prioritize effectively, meet deadlines, and adapt to changing priorities in a fast-paced environment.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Strong written and verbal communication skills and a service-oriented, team-focused approach.
- Ability to handle confidential information with discretion and professionalism.
- Prior law firm experience supporting conflicts, new business intake, lateral recruiting, attorney onboarding, or risk management.
- Familiarity with legal entity research tools and corporate family research.
- Exposure to legal ethics/conflicts concepts, engagement documentation, or portable-business onboarding.
- Ability to work independently as well as collaboratively across departments.
COMPENSATION: The estimated salary range for this role for 1-3 years’ experience is $41,500 - $51,500. Starting salary will be determined based on locations, qualifications, and experience.
