Building Administrative Assistant

The Building Administrative Assistant serves as a vital member of the school community, supporting the daily operations of a K–2 elementary building. This role is often the first point of contact for students, families, staff, and visitors, and plays a key role in creating a welcoming, organized, and student-centered environment. The Administrative Assistant works closely with the building principal and staff to ensure efficient office operations while supporting the unique developmental needs of early elementary learners.

Responsibilities
  • Serve as the primary point of contact for the school office, greeting visitors, answering phones, and responding to inquiries in a professional and friendly manner
  • Provide clerical and administrative support to the building principal and staff
  • Maintain accurate student records, attendance, and enrollment data in accordance with district and state requirements
  • Monitor daily attendance, follow up on absences, and communicate with families as needed
  • Assist with student health needs, including basic first aid and coordination with the school nurse
  • Manage office communications including newsletters, emails, announcements, and family correspondence
  • Support scheduling of meetings, conferences, and building events
  • Maintain confidentiality of student, staff, and family information
  • Coordinate building logistics such as transportation changes, dismissal procedures, and visitor check-in systems
  • Assist with ordering and maintaining office and school supplies
  • Support substitute teacher coordination and staff absences as needed
  • Provide a calm, supportive presence for young students who may need assistance throughout the day
  • Collaborate with staff to support a positive and welcoming school climate
Qualifications

Required:

  • High school diploma or equivalent
  • Previous clerical or administrative experience
  • Strong organizational, communication, and interpersonal skills
  • Proficiency with office technology, including word processing, spreadsheets, and student information systems
  • Ability to multitask and manage frequent interruptions in a fast-paced environment
  • Demonstrated ability to maintain confidentiality

Preferred:

  • Experience working in a school setting, particularly at the elementary level
  • Familiarity with student information systems and attendance tracking
  • First aid/CPR certification
  • Experience working with young children and families
Physical Demands
  • Ability to sit and work at a desk for extended periods
  • Frequent standing, walking, and movement throughout the building
  • Ability to lift up to 25 pounds (e.g., office supplies, student materials)
  • Occasional need to assist young students, which may include bending, kneeling, or reaching
