Functional Architect Job Summary
Your job is more than a job. As a Functional Architect, you are limited to a maximum of 5 hours of application-specific Customer Service meetings weekly. Should these meeting times exceed this limit, you will coordinate with your lead or manager to adjust your schedules or have the lead attend additional meetings on your behalf. This does not include meetings related to tickets.
Key Responsibilities
• Attend meetings with the IT Project Management team to review and discuss new, current, upcoming, and completed projects to determine scope, priority, and resource needs. • Attend Implementation/Planning/PM meetings associated with all team projects. Representing the interests of assigned applications - taking notes for future internal/team reference. • Attend Topline calls with Revenue Cycle leaders to discuss project priorities. • Coordinate calls with other application FAs when necessary with minutes to reference as needed. • Coordinate internal project kick-off calls to onboard assigned analysts to projects. Outline project goals, expectations, timeline, and resources. • Coordinate internal project related work sessions with analysts as needed per project. • Attend standing application specific team calls to review/discuss project related needs/concerns as needed. • Time used to attend project related meetings will be tracked in the project related task in SNOW. • Oversee and manage all team projects, ensuring alignment with organizational goals. • Support system optimization initiatives and facilitate project scoping discussions. • Conduct initial assessments of new project requests to define scope, feasibility, and appropriate timelines. • Assign IT build analysts based on project needs and resource availability. • Participate in project kickoff and planning meetings to establish clear deliverables and expectations. • Identify operational leaders/users to be included in projects as needed and communicate to PMO. • Set and communicate project timelines, milestones, and build/testing expectations. • Verify that all IT supplied information is added to project tasks in SNOW and maintained as needed. • Monitor project progress and provide regular updates to IT leadership. • Maintain internal documentation and project timelines.
Collaboration and Communication
• Act as a liaison between analysts, project managers, and business stakeholders to ensure effective communication and issue resolution. • The FA will have 10 or fewer SNOW tickets as their time and focus will be on SNOW Project tickets. • Work independently on assigned SNOW tickets with almost no supervision. • Maintain assigned tickets with weekly updates to end users and work notes documenting efforts. • Complete accurate time tracking for assigned tickets. • Support team members with their tickets as needed as a mentor/coach. • Complete peer review of team member build in FAs primary application. • The team FA is responsible for overseeing the maintenance of the Project tracker, assignments, and communication, etc. • Minutes from all meetings with operational end users related to the project will be saved and documented in the project specific OneNote section. • Act as liaison between analyst team and project stakeholders. • Maintain team project tracker and ensure assigned build analysts are providing a minimum of one update weekly updates. • Create project related OneNote page/section with appropriate template. This should be reviewed at internal project kick-off call and maintained by FA and assigned build analysts.
Key Skills and Qualifications
• Proven experience in IT project coordination or functional architecture roles. • Strong organizational, analytical, and communication skills. • Ability to manage multiple projects and prioritize tasks in a fast-paced environment. • Other Duties as needed.
