Inventory Control Coordinator

Job Summary

The Inventory Control Coordinator provides general support to all inbound inventory requests and needs from the field. This role is highly customer-facing, requiring the Inventory Control Coordinator to confidently present information, lead meetings, and interact with field agents daily. Areas of support include, but may not be limited to, new and returned receipts, loaner kit variances, and inventory optimization projects. Inventory Control Coordinators are required to exhibit intermediate experience and proven abilities in all listed duties, specifications, skills, and attributes. Satisfies our customers needs through prompt response, friendly service, and support that often exceeds expectations. Serves as the direct liaison between field sales agents and internal teams by reducing excess inventory in the field, handling incoming requests, managing restocks, addressing product inquiries, and investigating order shipments all to ensure the prompt and precise delivery of materials required for surgery. The Inventory Control Coordinator should be eager to expand product knowledge through team trainings, webinars, learning modules, and interactions with sales, marketing, and medical education.

Principal Duties and Responsibilities

  • Work with the inventory optimization team to analyze kit health and consignment placement
  • Collaborate with Ops, Sales, and Finance to support inventory balancing initiatives
  • Aid in creating information dashboards and conduct data analysis calculations to pullback underperforming and obsolete inventory from field
  • Lead distributor meetings to discuss current and forecasted business needs
  • Process loaner/inventory variances and discrepancies as it relates to loaner returns and field based analysis and adjustments
  • Provide support and pathway with field-based agents to manage and return soon-to-expire inventory
  • Provide assistance and co-project management with the demand control team to retrieve and manage TLDs in the field, as needed.
  • Work with Demand Control for par levels, Account Management for order completion, Distribution Center for tracking shipments, order history, or any other customer concern
  • Effectively communicate live inventory logistic status to field partners
  • Action orders placed in the field and coordinate with distributor office managers and reps to ensure order accuracy and availability
  • Manage internal controls such as product access, restrictions, back orders, par levels, etc.
  • Use Enterprise Resource Planning/Manufacturing Resource Planning software programs to loan, receive, ship, issue and monitor inventory. May also require coordination with shipping companies Schedule pick-ups and contact 3rd party carriers to deliver product on time, as needed.
  • Demonstrate a positive attitude, strong accountability, and enthusiasm, with a proven ability to adapt to changing business needs

Expected Areas of Competence

  • Superior interpersonal and communication skills
  • Proficient in MS Office (Excel, PPT) Familiarity with Google Sheets
  • Possess a professional presence
  • Must be detail oriented with excellent organizational skills and time management skills
  • Ability to think critically and make informed decisions
  • Previous experience working with a WMS is required; experience working with SAP is preferred

Education/Experience Requirement

  • High School diploma or equivalent required
  • Minimum of 2 years of recent work experience in medical device and/or in an inventory distribution/warehouse setting
  • Communicates clearly in verbal and written form in English
  • Experience with collaboration between cross-functional teams
  • Experience in leading meetings and presenting high-level information to teams
  • Computer skills and experience with a WMS are required, experience working with SAP is preferred
