Intramural Sports and Recreation Coordinator

The Intramural Sports and Recreation Coordinator develops, plans, promotes, and delivers intramural sports and recreational activities that support campus student life. This position plays a critical role in supporting student retention, encouraging inclusion, promoting healthy habits, and creating a positive, respectful, and welcoming community environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Plans and executes the annual programming of intramurals and team sports (basketball, soccer, volleyball, softball, pickleball, cornhole, flag football, walking clubs, hiking clubs, running clubs, fitness challenges, table tennis, billiards, darts, exergaming, tech-infused dance and fitness)
• Plans and executes league and tournament programming, marketing, registration, scheduling, and supervising officials.
• Partners with Residence Life, Student Life, and Health and Wellness Programs for Cross-Planning and execution of events such as (Trivia nights, movie nights, game nights, exergaming, gamified fitness, tech-infused dance, cultural recognition events, music nights, hobby groups, and community competitions)
• Integrates with students through welcome events, orientation activities, buddy systems, and newcomer engagement. Identifies gaps in the resident experience and creates initiatives to improve engagement, morale, and well-being
• Promotes participation from both experienced athletes and beginners; ensures programming is inclusive of different age groups, cultures, physical abilities, interests, religions, languages, and work schedules
• Establishes and enforces fair rules, schedules, sign-up processes, tournament brackets, and codes of conduct for all sports and recreation activities
• Assists in the annual scheduling of fitness programming (yoga, kickboxing, gamified fitness, tech-infused fitness, gamified dance, etc.)
• Assists in the annual programming of the Rock-Climbing area, including training, workshops, events, and rock-climbing leadership training
• Assists in the sourcing of vendors for fitness instruction, equipment, recreation supplies, and special events.
• Assists in the recruitment, training, supervision, and scheduling of student staff.
• Assists in managing the electronic booking system, tracks program participation, attendance, satisfaction scores, repeat participation, utilization, and resident feedback.
• Develops clear and engaging communication materials for programming (bulletin boards, digital screens, newsletters, site apps, QR codes, posters, email, text alerts), maintaining consistent branding and messaging for sports, recreation, and adventure programs
• Coordinates with operational support areas (Facilities Services, Human Resources, Risk Management, university police, etc.)
• Oversees participation data collection and ensures accuracy; maintains files and records to support and prepares monthly regular reports for leadership
• Monitors events and mandates respectful social behavior and enforces standards for conduct, safety, inclusion, and professionalism. Enforces policies related to respectful conduct, violence prevention, alcohol, drugs, harassment, discrimination, and fatigue management.
• Monitors weather, heat stress, air quality, hydration risks, and other environmental factors that may affect outdoor programming; ensures first aid and emergency response plan is in place and communicated.
• Works closely with students to develop leadership opportunities.
• Acts as a visible and approachable presence on site
• Performs other duties assigned

QUALIFICATIONS:

• Bachelor's degree from an accredited college or university is required, preferably in areas of Kinesiology, Sports Management, Recreation, or a related field; Master's degree in related fields preferred.
• 2 years of experience with intramural or recreational programs or similar experience. Graduate assistant experience will be accepted.
• Experience supervising student and non-student employees, working with and training sports officials, planning and implementing climbing wall programs, adult sport leagues and tournaments, outdoor experiences, and facility management preferred.
• CPR/First Aid/AED certification required or ability to obtain within the first 90 days of employment (probationary period).
• Must clear and maintain a favorable background investigation and clearance
• Must maintain a valid driver's license, motor vehicle liability insurance and personal injury insurance, and be able to complete the University Van Driver Training within 90 days of employment date.
• Must be able to work flexible hours, including sporting and non-sporting events that may occur early morning, on weeknights, weekends, and possibly holidays; Occasional travel may be required
• Must have the ability to demonstrate intermediate skills in MS Office (Word, Excel, and Outlook); Teams, Zoom, or other virtual platform.
• Must have excellent verbal and written communication skills. Strong public relations and customer service skills, with the ability to use diplomacy and discretion at all times; ability to work effectively with communities across the university.
• Must have a high ethical standard and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem-solving and interpersonal skills; works well independently and as part of a team.
• Must have strong self-judgment abilities to assist in the preparation of department personnel policy information. Use discretion to complete work assignments. Initiative is frequently required to complete work assignments. Make decisions about policy interpretation and individual work priorities.
• Must have close attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines.
• Familiarity with the National Intramural and Recreational Sports Association (NIRSA).
• Knowledge of standard practices in campus recreation and/or sports team training.
• Ability to work effectively with faculty, staff, and students from a variety of diverse backgrounds.
• Bilingual Preferred (English/Spanish with the ability to understand and to make oneself understood to Spanish-speaking individuals).
• Understanding of the NCAA Division II intercollegiate athletic programs

PHYSICAL DEMANDS:

• Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day-to-day business.
• While performing this role, the employee works outdoors when they work at athletic fields, sporting events, practices, or job sites, and works indoors in a gym or other athletic facility.
• While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; use hands repetitively to operate standard office equipment; and occasionally lift up to 50 pounds.
• While performing the duties of this job, the employee frequently works in outside weather conditions and is frequently exposed to extreme cold. The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, extreme heat, and risk of electrical shock. The employee may also be exposed to loud and distracting sounds.
• Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
• Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems in a timely manner.
• Constantly operates a computer and other office productivity machinery.
