JOB OVERVIEW

GENERAL PURPOSE

Perform a variety of administrative, clerical, and records-related duties in support of the booking and release functions within a correctional facility. With regular attendance, this position prepares required documentation, maintains accurate inmate and legal information, and provides professional assistance.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES

ESSENTIAL DUTIES

  • Receive, verify, and secure inmate money and property in accordance with departmental procedures.
  • Create and maintain admission records, logs, inmate folders, and required documentation.
  • Enter and verify inmate demographics, charge, medical, financial, and other required information in department databases.
  • Conduct and document criminal history, warrants, and other required admission and records checks, including NCIC inquiries, and coordinate the collection and distribution of admission, bond, warrant, and related information with law enforcement agencies.
  • Set up and maintain inmate phone system information.
  • Process bond transactions and prepare and distribute bond, transfer, release, and related court paperwork.
  • Verify release eligibility by reviewing charges, holds, warrants, and other applicable requirements.
  • Process inmate financial transactions at release and coordinate release notifications and requirements with authorized partners.
  • Process trustee, early-release, and transfer documentation and refer questions or discrepancies to a supervisor.
  • Maintain accurate electronic and paper records.
  • Prepare routine daily paperwork and documentation for court services and other internal units.
  • Maintain activity logs including squad calls, medical transfers, weather notifications, and other operational information.
  • Provide professional assistance to law enforcement, courts, attorneys, employees, outside agencies, inmates, the public, and authorized media representatives.
  • Assist arresting officers with information related to charges, warrants, criminal history records, and applicable statues.
  • Greet and process facility visitors in accordance with security procedures.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS

MINIMUM QUALIFICATIONS

  • High School diploma or G.E.D.
  • 1 year of clerical, administrative support, or customer service work experience.
  • Must successfully complete the Admission Specialist training program.
  • Must be at least 18 years of age.
  • Must obtain and maintain NCIC certification within 30 days of employment.

KNOWLEDGE, SKILLS & ABILITIES

  • Effective communication and interpersonal skills for interacting with diverse individuals.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Proficiency in using the Microsoft Office Suite and other software related to data management, communication, and other common business processes.
  • Ability to follow established policies and procedures for confidentiality while adapting to evolving privacy standards and technologies.
  • Ability to build and maintain positive relationships within a team.
  • Knowledge of standard administrative procedures and records management principles.
  • Knowledge of basic correctional facility operations, inmate admission and release processes, and security procedures.
  • Knowledge of basic mathematical, bookkeeping, and cash-handling practices as applicable to assigned duties.
  • Skill in accurately entering, reviewing, and retrieving information using department specific computerized management systems and databases.
  • Skill in preparing and maintaining accurate reports, logs, forms, and other documentation.
  • Ability to learn and consistently follow correctional policies, booking procedures, security requirements, and established protocols.
  • Ability to remain calm, professional, and effective when interacting with individuals who may be upset, hostile, disruptive, or under stress.

The work environment is within a secure correctional facility, including booking, admissions, records, and administrative areas, involving regular use of computers, standard office equipment, and frequent interaction with both internal staff and the public in a structured, task-oriented atmosphere. The work environment may include exposure to emotionally charged situations, difficult interactions, and the inherent security risks associated with a correctional facility.
