This is a hands-on, client-facing role for someone who takes ownership, thinks critically, and enjoys figuring things out independently.You'll work directly with clients, employees, insurance carriers, and company leadership while managing the day-to-day operational processes that keep the agency and its client accounts running smoothly. Accuracy, follow-through, and initiative are essential. About the CompanyOur client is an established employee benefits brokerage and advisory firm with more than 22 years of experience serving employer groups throughout South Florida and across the country.The firm helps businesses design, implement, and manage employee benefits programs, including group health, dental, vision, life, and disability coverage, working directly with leading insurance carriers. In addition to group benefits, the firm provides financial planning, retirement income strategies, and individual insurance solutions. As the organization continues to grow, this position will play an important role in supporting its clients, strengthening internal operations, and helping the firm continue to deliver a high level of service.About the RoleAs the Insurance & Benefits Operations Specialist, you will take ownership of the day-to-day service and administrative processes supporting the agency's employee benefits clients.You'll manage group health enrollments and terminations, carrier follow-up, claims and billing issues, reconciliation, compliance activities, and ongoing client service from beginning to end. You'll also work closely with the company owner and have significant visibility into the agency's overall operations. This is an excellent opportunity for an experienced insurance, employee benefits, or administrative operations professional who thrives on ownership, accuracy, problem-solving, and independently managing a high-volume workflow. Candidates with experience in other areas of insurance, including P&C agency operations, may also bring highly transferable experience to the role. As the Insurance & Benefits Operations Specialist, you will be responsible for:Manage new-hire group health enrollments and weekly terminations from start to finish, including verifying elections, entering information into carrier portals and Employee Navigator, reporting COBRA events, and obtaining written carrier confirmation.Advocate on behalf of employees with insurance carriers to resolve claims issues, billing errors, denied or missing claims, and EOB requests.Serve as the first point of contact for client service requests by phone, email, and portal.Manage the client follow-up queue and ensure outstanding issues are tracked through resolution.Build and maintain client groups in Employee Navigator, including plans, rates, and carrier feeds.Maintain accurate records across carrier portals and internal tracking systems.Reconcile carrier invoices monthly and resolve eligibility and billing discrepancies.Conduct post-enrollment audits by comparing payroll censuses against carrier enrollments.Manage recurring service activities, including monthly age-change reports, billing reconciliations, and compliance notice distribution.Support open enrollment cycles through data entry, census reconciliation, document preparation, and coordination with the enrollment team. Perform general administrative duties and provide executive-level administrative support when needed.What You Bring to the TeamInsurance or Benefits Experience: 2+ years of experience in employee benefits, an insurance agency, an insurance carrier, or HR benefits administration is strongly preferred. Experience within a P&C insurance agency may also be considered.Strong Client-Service Orientation: You're comfortable serving as a primary point of contact and communicating professionally with clients, employees, and insurance carriers.Exceptional Attention to Detail: You take pride in getting things right the first time, carefully review your work, and can manage multiple priorities without sacrificing accuracy.Proactive and Persistent: You're comfortable making outbound calls and following up repeatedly until an issue is fully resolved. You don't consider a task complete until the appropriate confirmation has been received.Resourceful and Self-Directed: You take initiative, think through problems independently, and look for solutions rather than waiting for someone else to tell you what to do.Coachable and Adaptable: You welcome feedback, follow established processes, and adapt quickly as business priorities evolve.Ownership Mindset: You take responsibility for your workload, manage your time effectively, and make sure important deadlines, client requests, and outstanding issues are addressed and followed through to completion.Bilingual (English & Spanish): Fluency in both languages, spoken and written, is required. You must be confident handling client and employee communications independently in Spanish.Technical Skills Strong Excel skills, including formulas, sorting, filtering, and cleaning imported data.Advanced knowledge of Microsoft 365.Experience with Employee Navigator is strongly preferred.Experience with Salesforce, Airtable, Zoho Desk, or similar CRM/workflow platforms is a plus.Comfortable learning and adapting to new technology and software.Able to work confidently with data across multiple systems while maintaining accuracy.Comfortable using modern technology, including AI-powered tools, to research, solve problems, streamline workflows, and improve efficiency.Florida 2-15 Life & Health license preferred, or willingness to obtain it within 12 months.
