Position Description

Advertised Job Summary The DOJ - NAC Office is seeking an administrative professional to provide support services to the United States Department of Justice who has the ability to tactfully and skillfully communicate effectively both orally and in writing. The incumbent serves as a Program Coordinator providing assistance and project management to administration training teams and the ID credentialing team.

Job Related Minimum Required Education and Experience Requires a bachelors degree in a job-related field and no prior work experience which may be substituted by an equivalent combination of job-related certification, training, education, and/or experience.

Required Certification, Licensure, Other Credentials Must meet required security background investigation and must comply with the Homeland Security Presidential Directive 12 (HSPD-12) and DOJ Contractor Personnel Security Clearance Requirements. It is the responsibility of the employee to stay abreast of all policies and procedures.

Preferred Qualifications Well-rounded knowledge of information technology applications to carry out assignments, generate reports, training materials for classroom learning and distance learning, and to troubleshoot common IT applications. Applications and systems include, for example, LearnDoJ, Word, Excel, PowerPoint, SNAP, SharePoint, and Turning Point.

Knowledge, Skills, Abilities

  • Ability to communicate effectively both orally and in writing and tact and skill in persuading faculty and experts to comply with procedural requirements.
  • Skill in developing contacts to support the agencys legal education activities and effectively and diplomatically deal with a broad range of persons including federal judges, senior department officials, United States Attorneys, and others.
  • General knowledge or ability to learn protocol in dealing with senior staff and preparing for course presentations by senior staff.
  • Knowledge or ability to learn the procedures for safeguarding national security information.
  • Knowledge of or ability to learn legal and related reference sources in agency manuals, reference systems, directives, issuances, precedent decisions, court decisions, and commercial legal publications to ensure the highest level of support.
  • Must meet required security background investigation and must comply with the Homeland Security Presidential Directive 12 (HSPD-12) and DOJ Contractor Personnel Security Clearance Requirements. It is the responsibility of the employee to stay abreast of all policies and procedures.

Job Duties

  1. Serving as support staff to the training teams, provides technical and administrative support to the Assistant Director, Training Specialists, and Training Technician in the organization, preparation, management, and control of seminars and courses sponsored by the Office of Legal Education. Based on knowledge of OLE policies and procedures and the Assistant Directors views, the incumbent prepares draft agendas and a variety of working documents to assist in program planning and development. Functions will include assisting the training teams in preparing, formatting, and proofreading course materials.

  2. Assists in the design and revision of course materials based on student feedback, practical experience, course goals and objectives, and views of the Assistant Director. Responsible for drafting exercises, slides, handouts, learning aids, and/or tutorials for course segments. Will assist with research and prepare course materials (e.g., data, references, videos, etc.). This may include assistance with researching legal references and sources to ensure accuracy and incorporate the latest legal trends. Assists in preparing a variety of memoranda, statistical reports, summaries, and other course-related documents and data using automated word processing, spreadsheet, and database applications.

  3. Ensures classrooms are set up for classes and all books and support materials are in place for both on-site and off-site training programs. Ensures arrangements for training rooms, materials, supplies, equipment, and audiovisual needs have been made in advance of registration. Walk through of classrooms.

  4. Applies advanced office automation and specialized systems and software skills to create, maintain, and disseminate documents and manage training events. The incumbent carries out difficult and complex work assignments relating to the support, administration, and execution of a wide variety of complex courses and conferences.
