Install/Sales CoordinatorTNT Heating & Air Inc. is a 36-year-old licensed and insured HVAC company servicing both North Carolina and South Carolina. Our concept is to provide efficient and quality work in all areas of HVAC service. From our 24-hour emergency service department to the installation of new equipment, we cover all expectations that heating, and air require while staying up to date on all code requirements. We are growing, We are seeking a Sales/Install Coordinator to join our team.Work Hours: 7:30 am - 4:30 pm Monday to FridayCompensation: $20.00 - $27.00 per hourPosition SummaryThe Install/Sales Coordinator is responsible for turning sold jobs into smooth, profitable, and well-communicated installations. This role bridges the gap between sales, office, installers, vendors, and customers by ensuring every project is scheduled correctly, prepared properly, and completed efficiently.This position plays a key role in job readiness, customer experience, revenue flow, and operational efficiency.Primary ResponsibilitiesInstall & Project CoordinationSchedule all residential and light commercial installations.Confirm job readiness prior to install:Equipment ordered and confirmedMaterials list preparedPermits and inspections scheduled (when required)Communicate daily with install crews regarding:Job scopespecial requirementsaccess issuesstart timesAct as the main office contact for installers during projects.Sales Support & Job HandoffReceive and review all sold jobs from the sales team.Verify:equipment matchsystem typeaccessoriesduct or electrical scopezoning and specialty itemsEnsure all sold job details are accurately entered into ServiceTitan.Flag missing or unclear information before jobs are scheduled.Customer CommunicationConfirm installation dates and arrival windows with customers.Set expectations for:install timelineaccess requirementsutility shutoffspermitting/inspection processHandle reschedules, delays, and customer questions professionally.Purchasing & Vendor CoordinationOrder equipment and materials.Track delivery dates.Coordinate equipment staging and job site readiness.Job Close-Out & Billing SupportVerify install paperwork and photos are complete.Confirm job completion in ServiceTitan.Support office staff with:change ordersjob cost correctionsfinal invoice readinessAssist with smooth handoff to billing and accounting (QuickBooks integration).Performance & AccountabilityTrack install scheduling efficiency.Monitor:reschedule ratesjob readiness issuesmissed or delayed installsAssist leadership with install-related KPIs and reporting.Required Skills & ExperienceStrong organizational and scheduling skillsHigh attention to detailAbility to manage multiple jobs at onceProfessional phone and customer communication skillsComfortable working in fast-paced operations environmentStrong problem-solving and decision-making abilityPreferred ExperienceHVAC, construction, or trade services office experienceExperience using ServiceTitan (strongly preferred)Understanding of:HVAC equipment typesaccessorieszoning systemsduct modificationsExperience coordinating field crewsTechnology & SystemsServiceTitan (daily use)QuickBooks (job and billing coordination support)Microsoft / Google office toolsKey Performance ExpectationsThis role is expected to directly support:On-time install completionReduced job delaysClean job handoffs from sales to installImproved customer experienceAccurate job setup for billing and reportingPersonal Traits We Are Looking ForOrganized and structuredCalm under pressureStrong follow-throughComfortable holding others accountableClear communicatorTeam-first mentalityGrowth-focused and coachableBenefits: Medical, Dental, Vision, 401K with 3% company match, PTO, Ongoing trainings, and opportunitiesRequired Qualifications:Valid driver's license and insurable driving recordExperience in the HVAC field preferredBoth service and install experience preferredAble to communicate clearly in English both verbally and in writingManagement experience in a trade industry.
