This position will coordinate inspection work orders communicate scheduled inspections to customers track documentation and submit completed inspection reports to required third-party platforms or agencies.The ideal candidate is comfortable working in a fast-paced administrative environment managing multiple deadlines communicating professionally with customers and accurately entering and maintaining data in service-management systems.This position has a hourly rate of 19 per hour depending on experienceJob ResponsibilitiesReview incoming inspection work orders and confirm all required customer site and inspection details are completeCreate schedule assign and dispatch inspection work ordersCoordinate with inspection technicians field supervisors and operations personnel to ensure work is assigned appropriatelyMonitor scheduled work orders and make updates when inspections are rescheduled cancelled or reassignedMaintain accurate work-order status notes scheduling details and customer informationContact customers by email andor phone to confirm scheduled inspection dates times site contacts and access requirementsSend inspection confirmations reminders rescheduling notices and other required customer communicationsRespond professionally and promptly to customer inquiries related to inspection scheduling and documentationEscalate scheduling conflicts customer concerns or incomplete information to the appropriate manager or team memberMaintain accurate digital files and inspection records in accordance with company proceduresTrack upcoming completed overdue and outstanding inspection reportsPrepare basic status reports or scheduling updates for management as requestedOther duties as assignedJob QualificationsHigh school diploma or equivalent associate degree or additional administrative training preferredPrior experience in administrative support dispatching scheduling customer service or service operationsExperience in fire protection life safety construction service inspections or a similar industry is preferred but not requiredStrong proficiency with Microsoft Outlook Excel Word and email communicationExcellent organizational skills with strong attention to detailAbility to manage multiple priorities deadlines and follow-up itemsProfessional written and verbal communication skillsAbility to work independently while collaborating effectively with field and office teamsPlease visit www.afpgusa.comcareers for more information or to see all job openings.American Fire Protection Group is an equal opportunity employer.
