An Inside Service Manager serves as an entry point into the service side of the equipment rental industry. This role focuses on equipment maintenance and repair, parts order handling and inventory management, and customer billing. The position also collaborates closely with the outside sales team to ensure exceptional customer service and support.
Key responsibilities include direct involvement in hiring, onboarding, developing, and training technicians to build a skilled, reliable, and service-oriented team. The manager sets performance expectations, provides coaching and feedback, and ensures technicians have the tools, resources, and technical knowledge needed to perform at a high level. This position also plays a critical role in coordinating service operations, managing workflow, and maintaining strong communication with internal partners and customers.
Essential Functions
Provide detail-oriented support to shop technicians in diagnosing, repairing, and maintaining equipment within the service facility.
Coordinate daily shop repair activities, ensuring technicians have the parts, tools, and documentation needed to complete work efficiently.
Open, update, and close work orders to ensure accurate tracking and documentation of in-shop service jobs.
Utilize company systems and tools, including SmartEquip and ERP systems, to document, track, and manage service repairs and parts activity.
Manage the receiving, organization, tracking, and relocation of parts to support efficient shop operations.
Maintain accurate and up-to-date equipment maintenance records and service documentation.
Assist the District Service Manager and service leadership with service-related initiatives to improve department effectiveness.
Monitor technician training progress and coordinate internal and external training to support development and compliance.
Ensure adherence to established safety policies and procedures within the shop and yard environments.
Provide technical guidance and operational support to technicians to resolve equipment issues and maintain repair quality.
Communicate effectively with technicians, sales, and management teams to support service operations and customer satisfaction.
Complete administrative tasks including logging service activity, creating purchase orders (POs), and ordering parts.

High School Diploma
2-year technical certificate, 5 years of experience in heavy equipment service management, or a related college degree
PC proficiency required, particularly in Microsoft Office applications
Extensive OEM equipment and maintenance knowledge
Valid Driver's License
Strong organizational skills
Excellent customer service skills
Ability to build relationships and motivate employees
