The Inside Sales Representative will provide essential support to the Outside Sales Representatives across the region by managing client communications, preparing work orders, and ensuring a smooth transition to the estimating team. This role focuses on enhancing the efficiency of the sales process through detailed coordination and customer service.
Key Responsibilities
Responsibilities • Serve as the primary internal support for the Outside Sales Representatives by handling administrative sales tasks and ensuring smooth client communication. • Act as the point of contact for customers regarding questions related to quotes, orders, and project details. • Create and manage work orders by gathering all relevant project details from the sales team and clients. • Ensure accurate and timely handoff of work orders to the estimating team for bid preparation. • Track and follow up on work orders to ensure projects progress smoothly and all team members remain informed. • Maintain and update sales-related records in the CRM system, including client details, work order progress, and completed estimates. • Coordinate with internal departments (operations, dispatch, billing) to address customer needs and resolve issues efficiently. • Assist with preparing proposals, sales quotes, and supporting documents as needed. • Provide sales activity reports and updates to the Outside Sales team and leadership as required. • Support the sales team by scheduling appointments, job-site visits, and trade show arrangements.
Skills, Knowledge and Expertise
Required Skills and Abilities • Strong verbal and written communication skills for effective client support and internal collaboration. • Excellent organizational and time management abilities, with strong attention to detail. • Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and CRM platforms (e.g., Salesforce). • Ability to coordinate seamlessly with cross-functional teams, including Outside Sales Representatives and estimators. • Strong problem-solving skills to address client inquiries and resolve work order issues quickly.
Qualifications • High school diploma or equivalent required; associate’s or bachelor’s degree preferred. • Minimum of 2+ years of inside sales support or similar experience, preferably in the construction or underground utilities industry. • Familiarity with creating and managing work orders, estimates, and CRM tools. • Professional demeanor and ability to build rapport with clients and team members.
Physical Demands/Work Environment • Prolonged periods sitting at a desk and working on a computer. • Occasional lifting of office materials (up to 15 pounds). • Ability to travel occasionally for team meetings or customer events.
