Information Governance Coordinator IT Information Governance Department Summary The Information Governance Coordinator supports the firms records and information management activities with a primary focus on attorney departures client and matter offboarding data destruction and disposition. This is a junior position designed for a n early career professional who is detail oriented and interested in legal information lifecycle management. The coordinator works directly with departing attorneys to review organize and file emails and documents at the time of departure ensuring firm and client information is properly managed. The coordinator also collaborates closely with Information Govern ance leadership IT Records and practice groups to ensure information is retained transferred archived or destroyed in accordance with firm policies retention schedules legal holds and regulatory requirements. Duties and Responsibilities Supports attorney departure workflows including identifying reviewing and preparing client and administrative records for transfer retention or destruction in accordance with firm procedures and ethical obligations. Performs reviews of electronic data across document management systems shared drives email repositories and other firm approved systems. Reviews and prepares electronic records for release to departing attorneys or receiving firms ensuring firm owned and client owned materials are appropriately distinguished. Executes defensible disposition of records in all forms in accordance with approved retention schedules and documented procedures. Ensures records subject to legal holds investigations audits or regulatory requirements are excluded from disposition activities. Maintains accurate documentation and audit trails for all disposition and destruction actions. Performs database searches audits and close out reviews to confirm information is managed according to firm policies and disposition schedules. Uses the firms information tracking and management tools to facilitate the collection review retention and disposition of records. Transfers data into and out of iManage and other approved repositories including coordinating secure data transfers when required. Coordinates secure data transfers using approved tools encryption and security controls including Kiteworks or other secure file transfer technologies as needed. Qualifications Continued Proficiency with Microsoft Office Excel Outlook Word SharePoint PowerPoint and comfort working across multiple systems. Ability to work independently while collaborating within a specialized IG disposition team. Work Conditions Based in DC NY or Boston office. Core hours of 900 am - 530pm Monday - Friday hybrid in -office which will be a combination of onsite and remote work with occasional on -call availability. Position requires access to equipment software or technology that is subject to U.S. export controls. To be granted access pursuant to US Export Control laws candidate must be either a a United States citizen or national b a person lawfully admitte d for permanent residence of the United States i.e. Green Card" holder or c an INS -approved refugee or asylum holder who has applied for naturalization within six months of the date the individual first became eligible and if not yet naturalized i s still actively pursuing naturalization if 2 years have passed since the date of application to be granted access pursuant to US Export Control laws. Candidates will be required to submit appropriate documentation to determine whether access can be grante d before proceeding further through the application process. Duties & Responsibilities Continued Assists with documenting disposition procedures workflows checklists and job aids to support consistent execution across the firm. Supports basic metrics and reporting related to attorney departures disposition volumes and data destruction activities. Serves as a resource for answering routine questions from attorneys and staff regarding retention disposition and offboarding processes. Assists with information cleanup and organization initiatives. Troubleshoots information management issues and document solutions. Performs other duties as assigned. Status Non -Exempt Reports To Information Governance Manager Workplace Type Hybrid Salary range is 63000 - 82000 depending on candidate experience and location.
