Import Coordinator

Location: Queens, NY Area
Salary: $45,000 - $55,000

Position Overview

A well-established international freight forwarding and logistics organization is seeking an experienced Import Coordinator to support import operations and customer supply chain activities. The ideal candidate will have prior experience in freight forwarding, strong organizational skills, and the ability to manage multiple shipments while maintaining excellent customer service.

Key Responsibilities

  • Manage daily customer purchase order assignments and maintain communication with overseas offices, customers, and internal departments.
  • Prepare forwarding instructions, booking confirmations, and coordinate Importer Security Filing (ISF) information to ensure timely compliance.
  • Review Standard Operating Procedures (SOPs) to verify routing, rates, trade lanes, and applicable FOB charges.
  • Obtain customer approval for FOB-related charges when required.
  • Update purchase orders, bookings, and shipment information as needed, ensuring all parties are informed of changes.
  • Receive and review import documentation from overseas agents and customers for completeness and accuracy.
  • Track shipment milestones, including order readiness, pickup dates, bookings, loading schedules, and vessel departures through regular communication with origin offices.
  • Provide timely responses to customer inquiries regarding shipment status via email and phone.
  • Coordinate marine cargo insurance when applicable.
  • Ensure compliance with domestic and international shipping regulations.
  • Collaborate with operations, sales, and pricing teams to support transportation and logistics activities.
  • Perform additional duties as assigned by management.

Qualifications

  • 2-5 years of experience in freight forwarding, logistics, import operations, or a related field.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong analytical and mathematical skills with the ability to calculate rates and charges accurately.
  • Excellent attention to detail and organizational abilities.
  • Strong problem-solving and critical-thinking skills.
  • Excellent written and verbal communication skills.
  • Ability to follow verbal and written instructions effectively.
  • Flexible and adaptable in a fast-paced environment with changing priorities.
