HVAC Service Dispatcher - Residential HVAC and Heating Oil - Base Salary to 65k/year - East Providence, RI

• Our client is seeking an HVAC Service Dispatcher to coordinate residential heating and cooling service appointments, technician schedules, heating oil deliveries, and customer communications. This position combines service dispatching, customer service, scheduling, and office administration to support daily residential HVAC and heating oil operations.

Responsibilities:

• Schedule and dispatch residential HVAC service technicians for heating, air conditioning, maintenance, installation, and repair appointments.
• Coordinate daily technician schedules, service routes, emergency calls, and appointment changes based on technician availability and customer needs.
• Schedule heating oil deliveries and coordinate delivery requests using Droplet software.
• Schedule HVAC service appointments, maintain customer information, and update service records using Jobber software.
• Answer incoming calls and assist customers with heating oil deliveries, HVAC service requests, appointment scheduling, and general inquiries.
• Prioritize urgent heating and cooling service requests, including no-heat and no-cooling calls, according to established procedures.
• Communicate technician assignments, estimated arrival times, schedule changes, and service updates to customers and field personnel.
• Collect customer information, equipment concerns, and service history to support technician preparation and work order accuracy.
• Create, update, and maintain service tickets, work orders, dispatch records, and customer accounts.
• Maintain customer accounts, process invoices, and record payments using QuickBooks and Makegood.
• Respond to customer inquiries received through website submissions, Google Ads, and Tidio chat messaging.
• Assist with maintenance agreements, service documentation, customer follow-ups, and rebate recordkeeping.
• Post company photos, announcements, and customer updates on Facebook and Instagram.
• Develop and write blog posts and website content related to company services and announcements.
• Monitor and respond to customer reviews on Google and other online review platforms.
• Coordinate with service managers, technicians, customer service representatives, and office personnel to resolve scheduling conflicts and support daily service operations.
• Provide general administrative support, data entry, recordkeeping, and office coordination.

Qualifications:

• High school diploma or equivalent required.
• Experience using computers, scheduling systems, and Microsoft Office applications.
• Ability to perform customer account updates, scheduling, data entry, and administrative recordkeeping.

Compensation:

• Base salary in the 55k - 65k/year range plus benefits
