As we continue to grow, we are looking for an organized and dependable HVAC Installation Operations Coordinator to help manage the process from completed sale through installation and job close-out.This position works closely with sales, installers, customers, vendors, and office staff to make sure jobs are properly prepared, scheduled, completed, and ready for billing.ResponsibilitiesSchedule residential and light commercial HVAC installationsReview sold jobs for equipment, accessories, ductwork, electrical needs, zoning, and other project detailsConfirm equipment and materials are ordered and available before installationCoordinate permits and inspections when requiredEnter and maintain accurate job information in ServiceTitanCommunicate job scope, special requirements, and schedule changes with installation crewsConfirm installation dates and expectations with customersHandle reschedules, delays, and customer questions professionallyCoordinate equipment and material orders with vendorsTrack deliveries and help ensure jobs are ready before crews are dispatchedReview completed job paperwork, photos, and documentationAssist with change orders, job costing, invoicing, and billing preparationHelp monitor scheduling efficiency, delays, reschedules, and installation-related KPIsWhat We're Looking ForStrong organization and scheduling skillsExcellent attention to detailProfessional customer service and communication skillsAbility to manage multiple jobs and priorities at onceStrong problem-solving and follow-throughComfortable communicating with field crews, customers, vendors, and sales staffAble to work effectively in a fast-paced environmentPreferred ExperienceExperience in HVAC, construction, or another skilled-trade environment is strongly preferred.Ideal candidates may also have experience with:Scheduling HVAC or trade-service crewsPermits and inspectionsJob costingEquipment and material purchasingResidential or light commercial HVACHVAC equipment, accessories, ductwork, and zoningSupporting sales and installation departmentsTrade-industry leadership or coordinationServiceTitan experience is strongly preferred.
